Job description
The newly setup Global Vendor Management Organization is focused on establishing strong supplier relationships, create governance framework, prevent value leakage and manage risk for vendors servicing EY and its member firms.
The opportunity
We’re looking for a Vendor Governance Specialist who would work under direction of the Category Vendor Relationship Manager in managing the vendor lifecycle, perform analytics on spend and invoice data to glean insights to prevent value leakage and optimize governance. The rolerequires close collaboration with various stakeholders in Global VMO, including Commercial Owner, Contract Owner, Risk/ Compliance Owner, business operation, EY IT, EY GCO and finance.
Your key responsibilities
· Work with the Category Vendor Relationship manager to chart out a pipeline of suppliers to be onboarded into GVMO framework.
· Work closely with Procurement and Business stakeholders to obtain the requisite documents including contracts/SOWs, SLA performance data, historical invoice data, relationship maps, process flows etc. to upload to the SIRION vendor lifecycle management tool.
· Be able to read and distil deliverable and obligations from vendor contracts, understand and identify value leakage drivers, quantification of leakages and implementations of right controls to prevent leakages.
· Help create the artefacts as needed for the onboarding where missing
· Work closely with the business for vendor stratification, setting up the governance with the supplier by holding periodic meetings to assess performance, contractual obligations, track spend against budget, process improvements etc. Taking minutes and actions and following up with the action owners to ensure complete GVMO control of the agenda and deliverables
· Be responsible for holding multiple vendor relationships across the category / geography
· Possess analytics bent of mind and a flair for presentation in a concise manner as per EY standards
· Perform periodic compliance related tasks as determined for the supplier
· Support Category agenda of vendor consolidation, optimization, market research and peer comparison
· Facilitate implementation of continuous process improvements within vendor management program
· Leads quality assurance processes to ensure solutions are properly tested consistent with test cases and acceptance criteria
· Provides status reports to Global VMO leadership and senior leadership. Serves as point-person for internal and external project communications; ensures that transition and transformation milestones, completion dates, costs, contingencies are communicated to all stakeholders
· Engage and liaise with relevant internal and external stakeholders in negotiation decisions involving legal, IT, business or regulatory requirements, contract standards and cost targets to minimize potential losses and benefits
· Maintain deadlines on deliverables and communicate on an ongoing basis with business partners and Member Firms about contractual obligations
· Lead and contributes as an effective team member and takes accountability for deliverables and ownership of program outcomes
· Work with Contract Owners, Commercial Owners and risk and compliance owners to regularly monitor and review transformation initiatives performance against SLAs.
· Manages project risks and issues, determining a course of action, considering contractual constraints and objectives enabling continued project progress
· Provide project support to drive efficiency and price new vendor products and services
· Perform the evaluation of operations of vendors against agreed service levels
· Works with business owners, vendor management and other departments as required to help resolve vendor issues and to obtain and review vendor documentation
· Assists Vendor Management with due diligence and oversight activities to include review of financial performance, reports over internal controls
· Assist with internal audit/compliance review processes for vendors
· Develop and manage knowledge repository to use across vendor projects
· This is an individual contributor role
Skills and attributes for success
· Fluent in English – written and verbal with a strong emphasis on effective stakeholder communication
· Have worked in a vendor management or procurement organization and experienced the fast paced vendor lifecycle ecosystem
· Very good with data analysis using MS Excel, SQL, PowerBI and be able to create impactful presentations
· Have an understanding of tools like Ariba, Sirion (vendor management workflow tool), Accounts Payable tools built on SAP
· Understanding of standard project methodologies - project initiation, current state analysis, future state design, process design, implementation and project transition/close
· Design thinking skills/certification and excellent skills with powerpoint and storytelling approach
· Continuously advising leadership team on expected project performance vs. contractual obligations
· Good analytical, judgment, tact and decision-making ability along with critical thinking skills
· Able to work in a self-sufficient manner, operating across multiple vendors
· Understands the commercial drivers of vendor performance
· Focuses on contractual solutions that drive continuous improvement of vendor performance
· Navigates the full extent of accessible EY resources to deliver effective solutions
· Demonstrates the ability to apply a forward thinking EY focused lens to developing business solutions
· Forms and communicates a clear and concise view of contractual performance
· Demonstrates the ability to challenge assumptions and decisions in an appropriate manner
· Delivers cogent messages, encompassing contractual/financial analysis and recommendations
· Demonstrates appreciation and respect of varying cultures – both corporate and geographical
To qualify for the role, you must have
· Completion of a four-year college degree (e.g. Bachelor’s degree) is required to perform this position, graduate level education and or professional certification is recommended
· 4-8 Years of relevant consulting experience with at least 2+ Years of vendor management / procurement experience
· Strategy or Domain experience in one of the domains – Finance, HR, Real Estate, Travel , Procurement, Technology
· Desirable Certifications
· Certification in Project Management - PRINCE II, PMP, Agile
· Six Sigma Certification
· Certification in Change Management, Design Thinking will be an advantage
· Certification in Facilitation
Ideally, you’ll also have
· Experience in management of stakeholder relationships at Functional Head level
