Role description: Payroll & Benefits Coordinator – Level 2
Reporting to: Services Manager, Pay & Benefits
Location: Birmingham, some UK travel required
The Opportunity
Working as part of Talent Shared Services (TSS), within the Pay & Benefits Team, the Payroll & Benefits Co-Ordinator supports the day to day activities of the UK&I Firm’s outsourced Payroll and Benefits Services. The role provides the efficient delivery of payroll and benefits across a range of populations and includes specialist advice, guidance and liaison with a range of 3rd party suppliers
Your key responsibilities
· Support the processing and administration of payroll services for all UK and Ireland employees, pensioners and annuitants through 3rd party provider to meet agreed service levels.
· Manage the end to end L&G pension process including the reconciliation of joiners and membership data and the upload of monthly contributions.
· Act as a point of contact with the benefit 3rd party providers escalating as appropriate.
· Act as a point of contact for technical benefit and payroll queries from employees, internal clients and HMRC.
· Support the payroll team with technical payroll queries from payees, internal clients (including other TSS teams) and HMRC.
· Oversee the monthly compliance of the EY UK payrolls to ensure compliance with NMW legislation. Including analysis and the monthly arrears correction payments.
· Support the team to produce reports and deliver agreed payroll outputs in accordance with monthly timetable.
· Develop and maintain strong day to day relationship with the Finance, Reward, and other internal teams within EY.
· Plan and deliver the reporting requirements and data sets needed by the UK talent team to analyse and report Gender Pay gap and Pay Ratio figures ahead of statutory deadlines.
· Support the reconciliation of benefit provider invoicing in accordance with the agreed timetables.
· Highlight service level and risk issues to Benefits Officer/Payroll Officer and/or other key stakeholders.
· Manage the Pay & Benefit Team Event Calendar, Skills Matrix and key contacts database.
· Take a proactive role in the sharing of knowledge throughout the team.
· Commit to own personal development and completion of appropriate learning and development activities to ensure capability and skills are current.
To qualify for the role you must have
· Good knowledge of payroll and benefit administration processes.
· a thorough knowledge of payroll & benefits policies and administration, via practical experience or study.
· Experience of and delivering via 3rd party providers
· Good interpersonal and communication skills with a focus on supplier development, numerical capability and attention to detail
· Knowledge of operational HR systems e.g. PeopleSoft and the work force administration life cycle
· Qualified to ‘A’ level standard or equivalent experience
· Able to work under pressure to prioritise workload and manage multiple activities. Demonstrate flexibility to delivering of set tasks.
· Proficient IT skills including MS Excel - formulas, look ups and pivot tables. Numerical capability and attention to detail.
Ideally, you’ll also have
· A thorough knowledge of Talent Transactional processes
· Experience of working in either a specialist payroll or benefits function and experience of working through 3rd party providers is preferred.
· Knowledge of flexible benefits platforms and reconciliation processes
· Good interpersonal skills with an ability to develop and maintain good relationships with internal and external stakeholders.
· Knowledge of operational HR systems.
· A detailed understanding of HMRC regulations including NMW, RTI and Tax/NI.
