Job description

Workplace Solutions are recruiting for a Helpdesk & Asset CAFM Administrator to be based in Gadeon House, Grenadier Road, Exeter, Buisness Park, Exeter, EX1 3UT. This is a permanent, full time role working 37.5 hours per week, Monday to Friday 09:00 - 17:00. On offer is a competitive salary of £20,000 - £22,000 per annum.

General Overview: 

The primary responsibility of the Helpdesk & Asset/CAFM Administrator is to ensure that the facilities services teams are supported, through the effective management of the Integrated Workplace Management Solution (PLANON). The job holder should have extensive demonstrable experience of Integrated CAFM (Computer Aided Facilities Management) systems and PPM (Planned Preventative Maintenance) scheduling.

Key Responsibilities


·  Reporting directly to the Helpdesk Manager, the Helpdesk & Asset/CAFM Administrator will co-ordinate a wide range of administrative tasks utilising the CAFM system (PLANON), to provide first line support to the WPS Facilities Teams.
·  The role will require adherence to all relevant Policies and Procedures and the general upkeep of the system.
·  Work to deliver the Property Services Service Level Agreement with the business and build relationships with key stakeholders at all levels.
·  Maintain and develop Property Services databases, including online systems and asset management in line with change control processes. Liaise on a regular basis with Facilities Teams to ensure maximum productivity.
·  Lead in the development and implementation of planned preventative maintenance schedules and manage reactive requests in accordance with contract specifications and Key Performance Indicators. 
·  Provide first line response and decision making capability; working with Facilities Managers to fulfil or resolve service issues.
·  Lead the production, building and analysis of detailed management information reports to assist with performance management and measurement of SLA’s and KPI’s.
·  Possess a proactive approach to your own personal development and assist in the development of others on the Helpdesk and within the FM Teams overall where necessary.
·  Strong interpersonal and communication skills are key; and they need to be a team player.
·  Demonstrate a willingness and flexibility to work across the department.
·  Have a clear comprehension of the Company’s goals and objectives and be willing to undertake special ad-hoc projects from time to time to meet business requirements.
·  It is essential that the post holder is capable of managing and prioritising their workload with minimum supervision.
·  Some travel may be required on an adhoc basis.
Attributes

·  Good communication skills and highly numerate.
·  Demonstrable CAFM Asset Management experience and a good understanding of Data Base Solutions.
·  Highly developed and demonstrable PPM scheduling capabilities.
·  Excellent time management skills and the ability to effectively prioritise workload from a variety of different sources.
·  Proven ability to build and maintain effective working relationships with suppliers and stakeholders.
·  Self motivated with strong organisational skills and a methodical approach to prioritising and organising work.
·  Ability to be innovative and identify ways of improving  and enhancing services.
·  Experienced in extracting information from databases for inclusion in report packs for each of the key areas within Property Services.
·  A respected point of reference for all matters relating to the services being managed.
·  An in-depth knowledge of SFG20 or similar and associated regimes to align with asset administration.
·  A history of proven money saving initiatives implemented 
·  Proactively seek opportunities to broaden and deepen knowledge base.
·  Co-operate, work with and support team members to assist in achieve team/ department goals.

·  Good General Education with a minimum of 5 GSCE’s grade A* - C or equivalent
·  Technical and Commercial Knowledge and Skills
·  Knowledge and experience of MS office IT packages
·  Knowledge and experience of CAFM systems
·  Previous experience of operating within Facilities Management or Property Services Function.
·  Ability to quickly establish a rapport with business managers, teams and peers
·  Adaptable to new situations/tasks and quickly learns new information
·  Attention to detail and can work to achieve deadlines
