Job description

Workplace Solutions are recruiting for a Events Planner to be based in Cannington Court, Somerset TA5 2HA. This is a permanent, full time role working 40 hours per week. The role will be mainly office hours based, but will include some shift alterations to cover evening events, so flexibility is needed. On offer is a competitive salary of £21 - 23,500 per annum, depending on skills and experience.

It is important that all staff adopt a customer centric attitude that ensures guest expectations are met.  The level of hospitality expressed by all staff towards our guests and high profile visitors must be of the highest possible standard. All staff must consider themselves customer facing and take all reasonable steps to make guests feel at home. 

Key accountabilities include:-

 

 

·  Work with the Head of Campus Operations, Campus Business Manager, Hotel Services Manager, Front of House Manager, Reception team, Concierge and the appropriate Service providers regarding forthcoming high profile/major event scheduling at Cannington Court to ensure the smooth running of the day to day activities.
·  Work closely with the Event Facilitators (both Internal and External) to ensure that each event runs effectively and maintains the reputation of Cannington Court as a centre of excellence.
·  Ensure Green Travel obligations are included within joining packs for all delegates to ensure appropriate information regarding local travel arrangements to Cannington Court are available as required.
·  Develop a close relationship with FM Service Providers to maintain an open dialogue to enhance and improve services and leverage ROI
·  The role will require interfaces across all areas of the Campus organisation, therefore the ability to prioritise work effectively will be paramount.

 

 

Other Duties Include:

·  Manage resources to meet daily schedules within this service. Ensure data capture is thorough and detailed.
·  Developing, managing and maintaining the standards and Service Level agreement of this service
·  Work with Security Staff whenever necessary to ensure the smooth running of services.
·  Act as Cannington Courts welcome point and events host.
·  Liaise with EDF-Energy and Security as required.
·  Manage, in conjunction, with the reception team, the booking and issuing of meeting rooms, accommodation, transport and function space.
·  As part of the building team, react to emergency alarms in accordance with Procedures.
·  Sundry additional administrative duties as required to support the business which will be managed by the Workplace Solutions Line Manager.
·  Carry out any other duties as may be necessary for the smooth running of the services. This will be managed by the Workplace Solutions Line Manager.
·  Liaise and communicate with visiting guests
·  To be aware of and carry out the policies and Procedures of EDF, including Fire, Health and Safety, Accidents, Security, Infection Control, Complaints and Confidentiality.
·  To comply with the requirements of the Health and Safety at Work Act and emergency procedures as required.
·  Manage a number of filing systems for Due diligence records
·  Manage the security of guest luggage being held in storage
·  Carry out any other reasonable duties linked to the reception function 
·  There will be a need to act as a host at some social events
·  To be flexible and help out in other parts of the building such as Conference and Events
·  To carry out Health and Safety responsibilities as per FOH, OM and HSM requirements
·  Impact:  The role is customer facing and will be the first contact many visitors to Cannington Court will have with EDF or Workplace Solutions thus the role will involve representing both companies and must maintain the highest standards of appearance, Hospitality, organisation and efficiency at all times.

 

 

 

As this is a customer focused role, the role may include facing difficult visitors so it is important that there is a good understanding of the responsibilities and the mission of the business which will help to remain focused in the priorities. A further requirement of the role is to have a good attention to detail and the ability to manage several responsibilities at once.  At any given time, there will be a requirement to stop what you are doing and assist with other responsibilities. Discretion of any duties is of great importance along with a calm demeanour. Interruptions can happen often however it is important to maintain a calm demeanour and listen to what is being requested. This role will require effective communication and assist others in their requirements.. The following competencies will be key to your success in this role
