Engie are recruiting for an Administration Assistant to be based in Ground floor, North Wing, Equinox North, Almondsbury Business Park BS32 4QL. This is a fixed term (1/12/18) part time role working 24 hours per week (Tues, Wed &Thur 8.00-16.30). On offer is a salary of £10,700 per annum (dependant on experience).The role holder will report to the Facilities Manager and will be responsible for all admin office and ad-hock duties that are carried out on a day to day basis. They will support the management team and maintain a professional manner at all times for visitors, clients and the team.
•To ensure that procedures associated with the Procurement process such as; purchasing, goods receiving, processing invoices for payment, dealing with queries and chasing aged dept. etc. are followed through.
•To provide day-to-day administration support to ENGIE FM team.  Duties will include issuing and circulating documentation, photocopying, typing of correspondence/reports etc. using computer based IT packages such as Word, Excel etc.
•Booking in subcontractor service visits
•Purchase order administration including creating, issuing and receipting 
•To follow procedures associated with ‘Uniforms’ for staff to include; carrying out stock checks, purchasing, issuing etc. and ensure that all documentation is maintained. 
•Liaison with other site personnel as well as client representatives including Trust wards and departments, other service providers, suppliers etc. as and when required.
•To work within a team and provide support to each other
•To provide administrative cover to other parts of the FM Administration service during staff absences 
•Ad-hoc office duties including telephone cover, stock checks, organisation of office.
•Carry out ‘ad-hoc’ filing associated with the on-site central filing system.
•Communicating with site teams and management.
•Attend training courses as required by the company.
•Ensure all documentation produced forms part of the on-site Central Filing System.
•Embrace and adopt the ENGIE Zero Harm culture and policy.
•Ensure all data and management information is maintained and communicated accurately to agreed deadlines.
