Job description

My client, a leading company in its field, based in Buckinghamshire, is looking for an Assistant Tender Manager to join their busy team.

Reporting to the Tender Manager, you will be responsible for supporting the management of tender activities, driving the process forward by liaising with key stakeholders to produce high quality tenders and consistently deliver solutions to meet customer needs. You will research and write responses for tender submissions and proof responses written by other members of the tender team to ensure there are no errors, that the question has been fully answered and that the response fulfils the client requirements. The role will also involve tender preparation and co-ordination from initial distribution to completion and submission.

Key Duties: 

- Logging all tender proposals and distributing to relevant parties, working to strict deadlines.
- Monitoring contract notices and supplier opportunities on tender portals
- Completing responses in Pre-Qualification Questionnaires (PQQs) and Invitation to Tenders (ITT’s) in alignment with customer requirements to a very high quality under the guidance of the Tender Manager
- Providing full administrative support in the preparation, formatting, printing, and binding of tender submissions
- Coordinating tender responses across the business ensuring required documentation is returned from internal stakeholders within specified deadlines
- Proof reading tender documentation, to ensure a high level of accuracy and completion prior to timely submission
- Ensure full compliance with all Company policies and procedures, including health & safety and employment in a fair and consistent manner at all times
- Designing and developing a library of responses to be adapted for future tenders
- Co-ordinating tender delivery to the customer, ensuring submissions are returned on time
- Seek to add value to existing contracts in terms of additional turnover and profit by offering additional services where possible
- Liaising with the Sales and Contracts teams to identify new tender opportunities
- Ongoing identification and recommendation of administrative procedural changes to improve the efficiency of tender-based activities
- Ensure full compliance with all Company policies and procedures including health and safety and employment
- Any other duties, such as ad hoc projects, as requested by the job holder’s Manager or the Board of Directors that are within the skills and capabilities of the job holder

Experience/Qualifications

- Educated to degree level desirable but not essential
- Experience of the tender process an advantage
- Full driving licence

 Skills/Knowledge 

- Requires a high standard of written and verbal English in order to produce professional tender documents 
- Highly motivated with strong organisational and time management skills
- Strong writing and proof reading skills
- Good attention to detail with high importance placed on accuracy
- Able to prioritise and work well under pressure to meet strict deadlines
- Confident, proactive and uses initiative
- Ability to multi task, working on several projects at any one time
- Ability to work under pressure and be flexible in terms of working hours 
- Evidence of an excellent working knowledge of Microsoft Office applications (Word, Excel, PowerPoint and Outlook).  Experience with MS Project and Adobe InDesign an advantage
- A good team worker, who is self-motivated and able to use initiative
