ENGIE are recruiting for a Part Time Receptionist to be based in our Shared Service Centre in Newcastle. This is a permanent, part time role working 20 hours per week. On offer is a competitive salary of £8,580 (£8.25 per hour).
Must be flexible in supporting working hours to provide cover 08.00 - 12.00hrs and 12.00 - 16.00hrs on a rotation basis Monday to Friday (will be required to work extended hours if requested by the business this will include cover for sickness / holidays as the two receptionist will provide cover for each other).

General Overview:

The Receptionist / Administration role is a very diverse one. You will be asked to cover a variety of tasks, Meeting and greeting visitors, issuing parking passes and directions.
You will be responsible for ensuring Health & Safety Speech is given to all persons attending Q3 and issuing the site induction package to all sub contractors), answering the telephones and directing callers to the correct departments, confirming room bookings and answering emails, booking taxis and hospitality as required.
All works carried out on reception are logged onto spreadsheets which will be updated as required.

Main Responsibilities/Duties Include:

·  Actively lives, demonstrates and supports the company values and operating principles
·  Ensures Compliance with all company programmes, processes and procedures
·  Supports the retention, motivation and development of the contract.
·  Report any unusual occurrences to your direct report.
·  Ensure you maintain your work areas in a clean, tidy and safe condition.
·  Make every effort to conserve energy and other utilities.
·  Report any defective equipment to your direct report.
·  Follow all local instructions for the use of ladders, steps and hand tools.
·  Work to the site procedures and guidelines.
·  Ensuring you work safely at all times, reporting and H&S risks to your line manager.
·  Meet and greet all visitors to SSC in a professional and courteous manner. Always wearing the company uniform.
·  Willing to be trained in company systems such as Coupa (purchasing tool) SAP absence reporting, holiday requests, invoicing etc as required to support the FM function.
·  Ensure the site security policies are adhered to at all time.
·  Ensuring hosts are aware of visitors arriving, issuing Passes and car park passes
·  Photograph new staff and issue ID cards as per written procedure, management of the Access Control System
·  Room bookings
·  Ordering Taxis for visitors and staff as required.
·  Daily completion of electronic records including logging of reactive work requests/ complaints etc
·  Maintain a high level of personal hygiene and to be presentably dressed at all times in the uniform provided
·  Willingness to be trained for various duties within the FM team
·  Establish excellent working relationships with client and customers to deliver a high level of customer service
·  Provide support to FM and SSC based team as required.
·  Willingness to attend any training course required to support the function of the role.

Qualifications or Required Experience:

·  Experience in working in a busy reception environment.
·  Good literacy and numeracy. Computer skills including word/excel/e-mail.
·  Possess a high degree of attention to detail
·  Proactive and enthusiastic team player.
·  Awareness and willingness to work within and promote Health & Safety practices.
·  Highly customer focussed.
·  “Can do attitude”
·  A willingness to adapt to change and support fellow FM team members.
·  Organisational skills with the ability to prioritise and work in a logical manner.
·  Good literacy/numeracy to support in the completion of daily/weekly documentation.
·  Experience in working with computers with a knowledge of word/excel/e-mail
·  Other duties as requested as assigned to him/her by the FM Manager.
