Job description

ENGIE are recruiting for a Contract Administrator to be based in 237 Fulham Road, Chelsea, London, SW3 6JB. This is a permanent full time role working 40 hours per week. On offer is a competitive salary and benefits package. This role will report in to the Contract Manager.

Working days and hours are as follows:

Monday - Friday 09:00am – 17:00pm

As the Contract Administrator, you'll provide a range of administrative/clerical services to the engineering team including word processing and to complete work with speed, accuracy and confidentiality.

Main Responsibilities/Duties Include:


·  Provides a friendly and efficient front line service, both in person and on the telephone, in respect of enquiries from the client
·  Ability to use Information Technology including Microsoft Office systems to record and maintain department records
·  Provides a routine clerical and admin support to the engineering team
·  General clerical work includes: photocopying, word processing, mail sorting and delivery, document collating and distribution, data input and filing in an efficient and accurate manner, ensuring that deadlines are met
·  To service meetings including taking and preparing routine minutes
·  Maintain stocks of stationery and other consumable items
·  Process invoices and raise purchase orders in a timely manner
·  To understand the value and usefulness of performance information and appreciate the need to monitor our progress
·  Monitors sickness absence and processes annual leave cards.
·  Experience, or willing to learn, financial contract responsibilities including WIP and debt management
·  Ability to liaise with subcontractors and plan in service visits
·  To undertake any other relevant duties required from time to time, as reasonably corresponds to the general character of the post and is commensurate with the level of responsibility
·  To carry out duties with full regard to ENGIE's Equal Opportunities Policy

·  To have a clear focus on the key priorities for ENGIE and the impact an individual's work can make on whichever priorities are covered by their service area
·  Provides clerical support at meetings, including agenda preparation, collation of supporting papers, minute-taking, production and distribution of minutes
·  Undertakes routine order processing for work orders
·  Prepare contract review packs for the Contract Manager
·  Liaise with relevant personnel regarding issues raised by Planon and communicate responses. Maintain record of responses
·  Processes incoming mail, telephone calls etc., ensuring that accurate information and advice are given and those enquiries are directed to the appropriate member of staff
·  Contributes to the implementation of new administration procedures, developments and working methods including updating any procedures manuals
·  Support the delivery of ENGIE's corporate and local objective
·  The duties and responsibilities in this job description are not restrictive and the post holder may be required to undertake any other duties which may be required from time to time

·  RSA II Typewriting or equivalent (ECDL1 and 2)
·  Experience in using Microsoft Packages
·  Prepared to work additional hours to assist with office cover/holidays
·  Ability to take minutes at meetings
