PMO Project Administrator

Position Description
CGI Federal has an immediate need for a Project Administrator. This is an exciting full-time opportunity to work in a fast-paced team environment supporting one of the largest organizations for the US Federal Government. Your future duties and responsibilities
CGI is seeking a Project Administrator to be a part of a large, geographically disperse project team. This is a mid-level administrative position based in Fairfax, VA.
Responsibilities will include but are not limited to:
- Attending key meetings and capturing minutes and issues.
- Assistance in the preparation and facilitation of team meetings and workshops
- Maintenance and Administration of project documentation and document repositories (MS Sharepoint including access controls and monitoring compliance with structure and use of shared document repositories.
- Administrative support for various member management functions including:
o Maintenance of org charts and team contact lists
o On-boarding of new team members including space assignments, ID request forms, asset assignments, access requests, and team distribution list management.
o Coordination of team social events.
o Coordination of rewards and recognition programs
o Coordinating the Project team calendar, vacation, and out of office/meeting schedules.
o Reconciliation of the project team’s timesheets to ensure accurate time recording
o Monitoring of compliance of the project team to various administrative processes including timesheets, expense report submission, mandatory trainings, completion of performance reviews, etc.
- Support for travel related needs for key members of the CGI project team including expense report submission and tracking. (Familiarity with Federal Travel Regulations is a plus.)
- Meeting coordination and scheduling and support for team in reserving conference rooms, distributing recurring meeting invites, printing copies, etc.
- Coordination of administrative activities relating to sub-contractor management in coordination with the CGI contracts group and accounts payable.
- Perform special projects and respond to complex, non-routine data requests and provide Ad-hoc support to key members of the CGI project team
- Create and maintain reports and dashboards that support project transparency
- BA/Testing work and Ad-hoc support to project execution team in crunch times.

Required qualifications to be successful in this role
• Must have at least 1 years experience working in an administrative role for a PMO team
• Excellent verbal/written communication and interpersonal skills and must be outgoing and proactive in order to accomplish tasks
• Experience with Microsoft Office applications (Word, PowerPoint)
• Experience using project management tools including Excel, Project, Visio and Access.
• Knowledge of MS SharePoint and facilitating, improving, and ensuring compliance with its defined project uses.
• Analytical skills and ability to interpret data
• Flexibility, ability to multitask and handle a fast paced work environment
• Ability to support project team members across a diverse geography (anywhere from 3 to 30 concurrent locations).
• Ability to effectively communicate and interact with all levels of the CGI, subcontractor, and customer organization.
• Attention to detail
• Due to the nature of this government contract, US Citizenship is required
