This position is responsible for providing workspace operations activities for DEB Pittsburgh. Proactively providing efficient office, clerical and receptionist services, providing excellent customer service at all times to customers (including DE employees, contractors and visitors) and managing routine as-needed facilities maintenance and repair services.

 

Requirements

·  Associate degree preferred
·  3-4 years previous experience, preferably in a corporate environment.
·  Strong customer service focus
·  Highly developed interpersonal skills
·  Strong sense of team work
·  Ability to make decisions quickly, based on available information, and take action
·  Ability to read and interpret construction documents / drawings
·  Ability to establish and maintain effective working relationships with colleagues and management
·  Ability to think and act independently
·  Excellent English language communication skills, both written and verbal
·  Excellent time management and organizational skills
·  Proven ability to manage and balance several tasks simultaneously
·  Capacity to handle large volumes of work
·  Ability to work with sensitive and confidential material

·  Strong computer skills, including: Microsoft Word, Power Point, Excel, SAP/SRM
·  Excellent time management and organizational skills

Responsibilities

·  Provide back up to the Facilities Services Specialist.
·  Provide vendor management support to the business units in their portfolio.
·  Greet visitors to Direct Energy in a professional manner and initiate proper security measures.
·  Answer all incoming phone call and route them to correct source.
·  Ensure all walk-in clients are directed to the appropriate locations or individuals.
·  Maintain and administer the effective use of Direct Energy Meeting Room Reservations and Resources.
·  Code and submit invoices.
·  Complete internal facilities and building maintenance requests.
·  Have a clear understanding of the landlord’s maintenance obligations according to the lease and ensure landlord’s compliance.
·  Ensure adequate level of routine cleaning and housekeeping in accordance with established building standards.
·  Ensure timely processing and approval of supplier invoices.
·  Maintain Facilities work order log.
·  Oversee the management of facility boxes and ensure compliance with all internal SLA’s for the work orders.
·  Coordinate shipping of outgoing packages and USPS mail.
·  Receive and deliver mail/packages in a timely manner.
·  Order office supplies as needed by department, this includes coffee service and supplies.
·  Support, implement and maintain HSES procedures.
·  Administer security access control procedures with input/direction from HSES.
·  Support on-boarding and off-boarding processes.
·  Create Welcome Kits for new hires.
·  Maintain log which includes new hires, transfers, and terminations.
·  Develop internal processes designed to enhance day-to-day operating efficiencies.
·  Insure that all site-specific documentation and reports are complete and accurate.
