Based in a busy environment at our London office in Holborn, you will be providing secretarial and administrative support to a number of senior Vice Presidents and also provide admin support for their teams as and when required.
Key Responsibilities:
• Comprehensive and proactive diary management to ensure productive time usage and potential. Regular scheduling of meetings, accommodating multiple diaries.
• Excellent organisational skills, both of self and Vice Presidents. Will take the lead in planning agenda and preparing Vice Presidents for meetings, briefings etc. Monitoring and organisation of client and internal meetings and conference calls.
• Itinerary planning to ensure seamless logistics and to maximise exposure to clients and potential clients/partners.
• Proactive handling of email/voice mail and preparation of action lists to assist Vice Presidents in the prioritising of his or her time.
• Liaison with external clients and partners, some of who are at Chairman/CEO level, and their offices to promote a good relationship and ensure desired access.
• Preparation and assisting facilitation of team meetings, both external and internal.
• Producing documents and presentations using Word, Excel and Powerpoint.
• Monitoring and entering of expenses, timesheets and invoices using online systems.
• Set up and maintenance of internal distribution and contact lists.
• Handling of all general enquiries.
• General administration duties.
• Assisting other PA’s if and when necessary, including holiday cover.
• Flexibility around working hours, if and when necessary.
• Liaison with clients and staff on behalf of the Vice Presidents.
• Ad-hoc projects as required.
• Build confidence with Vice Presidents and their teams.
• Build good networks within Capgemini to facilitate speedy resolutions.
• Experience at a similar (Executive) level in a professional services firm or blue-chip environment.
• Advanced Microsoft Word, Powerpoint, Excel & Outlook.
• Event organisation experience.
• Experience of using online procurement and timesheet systems (ideal).
• Flexible approach.
• Strong communication skills and telephone manner.
• Professional appearance and behaviour.
• Pro-active and common-sense approach.
• Inquisitive and interested, will seek out solution and explore options rather than wait to be told what to do.
• Ability to remain calm and to deliver to tight deadlines.
