About the role: 

We have an exciting opportunity for a Team Administrator to join our team based in the East Midlands on a 6month fixed term contract. 

As a Team Administrator it will be your duty to provide comprehensive administrative support to the Customer Operations team and to facilitate and efficiently co-ordinate and administer key activities to assist with the smooth running of the team including diary management, purchase orders, reporting, maintenance of systems and records, ensuring accurate and up-to-date documentation and information is held.

What you'll get to work on:

* Creating ad-hoc and bespoke KPI reports for the Management team, providing key and relevant data as and when required from a variety of different sources
* Producing standard reporting from the IMS system (near misses/hazards) and producing and actioning ad-hoc paperwork as required including secondment paperwork for internal moves
* Managing incoming phone calls, mail, and correspondence. Providing a first line response for team communications and ensure that all requests, orders, and invoices are progressed in a timely manner, complying with all procedural requirements and internal audit regulations
* Maintaining the SharePoint site, ensuring current information is filed and accessed to the agreed process
* Monitoring financial inaccuracies/underpayments with regards to incomplete payments from Customers/Suppliers; create financial MI as required, highlight any interventions; working closely with internal and external stakeholders; highlighting any financial irregularities from reports
* Assisting in the onboarding of all new staff and contractors, including arranging inductions, training, and procuring PPE and IT equipment, liaising with suppliers as necessary
* Coordinating and accurately maintaining local team records including financial and leaver records and accurately maintaining the training register and minimum competency framework database (compliance); ensuring both are updated and cross-checked as training becomes either due or completed
* Managing and co-ordinating diaries of a small team (approx. 10 people) to schedule meetings as required, ensure the itinerary is always clearly communicated to all relevant parties; arrange accommodation/car hire for the wider team as required and supporting various meetings, briefings and events as required. Collate and prepare letters and reports for internal and external publication
* Supporting and working with fellow members of the team to ensure that the movements and activities are coordinated and maximise their impact on business performance
* Ensuring access to up-to-date information is available at all times and bringing any significant issues to the attention of the management team as appropriate


Who are we looking for:

Qualifications

* Appropriate academic qualifications including English and Maths


Practical Experience

* Previous administrative experience 
* An understanding of gas distribution activities / processes
* Ability to build and maintain internal and external relationships
* Confident computer literacy skills including the use of Microsoft office systems
