HSE Subcontractor Coordinator
SUMMARY:
This position supports technical operations by building and maintaining HSE’s subcontractor network, and utilizing said network to resource interdivisional health, safety, and environmental project requests. Resourcing will include scheduling and coordinating on-site reconnaissance (OSR) with property contacts.
ESSENTIAL DUTIES AND RESPONSIBILITIES The following responsibilities may include, but are not limited to:
· Prioritizes assigned work based on site inspection dates or other notification requirements.
· Resources projects, as needed, via a subcontractor network
· Establishes contact with the property representative to schedule site visits.
· Works with project managers by obtaining scope of work and requesting estimates and timing from subcontractors.
· Facilitates Master Services Agreements or Contracts with subcontractor and HSE through BV legal.
· Responsible for managing administrative details: verifying information, faxing, assembling paperwork; emailing Project Work Plans (PWP) and report masters, etc.
· Prepares purchase orders and necessary follow up.
· Regularly updates scheduling database; maintains knowledge of part-time employees and subcontractor availability.
· Works with project managers to provide feedback on subcontractor performance issues.
· Proactively identifies scheduling conflicts and resolves them immediately.
· Organizes scheduling by reviewing projects for location and due date, determining turnaround time, ensuring appropriate coordination with other departments, and considering efficiencies in travel, productivity, etc.
· Protects operations by keeping company information confidential.
· Delivers outstanding customer service through timely response and proactive solutions to client needs.
· Follows all documented policies, Standard Operating Procedures, and Work Instructions applicable to the position and in support of EMG’s quality standards.
· Maintains safe and clean work area by complying with all procedures, rules, and regulations.
· May be required to work overtime with prior authorization from supervisor.

REQUIREMENTS:
Education and/or Experience:
· High School Diploma or Equivalent required
· Bachelor's degree from four-year college or university preferred
· Experience with supporting an operational unit
· Strong scheduling and logistics coordination experience
· Working knowledge of Microsoft Word, Excel, Access, and Internet research
Skills & Abilities:
· Excellent verbal and written communications skills
· Excellent ability to prioritize
· Good attention to detail and deadlines
· Good time management skills including ability to handle multiple priorities in a fast-paced environment
