Role synopsis

Working in International Gas, the Personal Assistant will predominantly be responsible for providing the Head of Gas Value Chains (GVC) with administrative support, in addition to providing support to the Head of Treasury Trading (TT) (approx. 20%). The successful candidate will also form part of the wider International Gas PA team providing cover if/when required.
The role requires someone with excellent interpersonal and communication skills; a team player able to build strong relationships with peers and the wider business; someone who can produce work of the highest standards both in terms of attention to detail and presentation.

Key accountabilities

·  Diary management and prioritisation of conflicting meetings
·  Arrange meetings and prepare supporting materials for these meetings
·  Conference planning and logistics
·  Minute taking where required and assisting follow-up on action points
·  Support organisation and coordination of any leadership team matters
·  Help manage email traffic, identifying and prioritising urgent matters
·  Meet and greet external visitors
·  Organise travel in line with our Travel&Expenses policy and general cost constraints including preparation of travel itineraries with a high level of detail and accuracy, coordinating the correct travel documents and visas
·  Prepare and submit expenses for Head of GVC and Head of TT
·  Support the on-boarding and off-boarding of team members
·  Various ad hoc tasks such as scanning, printing as required
·  Support wider GVC team and TT team as required (e.g. meeting requests, travel and expenses)

·  Strong track record in previous PA roles, able to demonstrate the full range of PA skills
·  Excellent written and verbal communication skills, with the ability to deal with people of all levels
·  Excellent organisational skills and attention to detail
·  Proficient in Word, Powerpoint and Excel, and able to learn about new systems quickly
·  Strong team player who is self-motivated and proactive in their approach
·  Able to work independently to prioritise and manage multiple deadlines
