Role synopsis

Integrated supply and trading (IST) has developed a placement program that gives top military leavers the opportunity to gain commercial experience within our organization. If successful in gaining a place on the program, you’ll complete a six month paid placement in which you’ll receive all the training and development you’ll need to deliver. With the support of a dedicated mentor, you’ll gain an understanding of the wider IST business as you develop your skills and knowledge to go on to apply for a permanent position.

The trading teams in Global Oil Europe (GOE) are one of 3 regional Performance Units in IST Oil and are primarily responsible for marketing BP’s Exploration production throughout the region, sourcing crude for our refineries, trading on behalf of our associates and for supporting our refinery assets in order to maximise commercial performance. Operations are a vital part of Supply and Trading. In GOE this covers physical, paper and refinery coordination elements of operations across a large geographical region and deals with a wide variety of cultures and disciplines. The Operations team comprises of sub teams namely Trading Operations, Cargo Assurance, Demurrage, Doc. Admin, Inventory Analyst and Shipping Coordination. Operations have a key role to play in ensuring that the front to back process runs smoothly, technical expertise is provided and that valuable data and information is collected, entered and forwarded in a timely manner in order to provide full support to others dependent on such information in order to maintain an efficient and compliant process. The team manages the logistics of a deal to BP’s best commercial advantage whilst ensuring that all contractual and Group assurance obligations are met.

The six month placement Operations Project Coordinator is responsible for managing, coordinating and delivering a project (or projects) on behalf of the  sub teams within operations and the global operational teams. The aim of the role is to improve the efficiency of the Operations Team through providing KPI information to management on a monthly basis. Project Coordinator will be the Single Point of Accountability (SPA) for the project. As an active member of the Performance & Development team support the Operations vision for continuous improvement with ideas and management of change through the role.

Key accountabilities

· The primary project will be to develop a concise, automated global monthly Operations KPI dashboard. The dashboard should supply all relevant management information the Heads of Operations in London, Chicago and Singapore require to make decisions in areas such and business delivery, risk management and resource management. The project will involve:
· A full review of what information is supplied at present.
· Engage with Subject Matter Experts, Super-users and Team Reps to gather and sign off business requirements for KPI’s.
· Where possible design leading KPI’s to support decision making ahead of an issue.
· Development of a system for recording and displaying the data in an understandable way.
· Ensuring the system can be used in all regions to quickly populate the monthly data to supply a relevant dashboard to management in each region.
· Development of trend data graphs and provide simple access to the supporting data used to create concise dashboard allowing management to complete deep dives on a subject if necessary.
· Find a place to hold the data for the dashboard that can be easily accessed and updated in each region.
· While working on the KPI dashboard develop a system for monitoring productivity across the Operations teams and the individuals within them.
· Provide structure to each project using recognised templates and introduce clear delivery points to ensure delivery.
· Delegate tasks and responsibilities to the appropriate personnel.
· Work closely with the P&D Manager to agree project scopes and prioritise workload based on the requirements of the Operations teams.
· Identify and resolve issues and conflicts within the project to reduce risk of missing deadlines and milestones.
· Proactively manage changes in project scope and identify potential risks.
· Support transition of project into BAU.
