Role synopsis

The Executive Support Assistant (ESA) will provide assistance and support to the executive leadership team and the staff supporting that team. ESA will report directly to the Chief of Staff (COS). The ESA is required to liaise frequently with the other administrative staff throughout the organization. The ESA will have the ability to work independently on projects, from conception to completion and must be able to work under pressure at all times to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will have the ability to exercise good judgement in a variety of situations with strong written and verbal communication, administrative and organizational skills and the ability to maintain a realistic balance among multiple priorities and direction from several people.

Key accountabilities

·  Ensure a high standard of executive support to the executive team including; assisting in co-managing extremely active calendars of appointing; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries and agenda that can be required with little-to-no notice
·  Prioritizes and follows up on business demands
·  Provide a bridge for smooth communication; including responding to incoming/outgoing calls, emails and correspondence in reasonable time
·  Co-coordinate meetings; breakfast and luncheon needs; including setting up meeting space, catering, greeting guest, meeting clean-up, etc.
·  Oversees office supplies and management of items
·  Maintain the area around the executive suite to assure that supplies are available, the environment is orderly, conference rooms are stocked and properly secured, and access is controlled.
·  Provide back-up support to current executive suite admin staff.
·  Develop and execute new ways of digitizing or automating activities within the executive suite
·  Works closely and effectively with executive team members to keep them informed of upcoming commitments and responsibilities; follows up appropriately
·  Demonstrate leadership, credibility, trust, support and anticipate management needs
·  Provides cohesive leadership to build relations crucial to the success of the organization and manages a variety of special projects that are tasked
·  Prioritizes conflicting needs; handles matters expeditiously, proactively and follows through on projects to successful completion often with deadline pressures
·  Organize reports and data files to avoid any inconvenience in daily business matters

·  0-3+ years of experience supporting executives preferred, or Oil & Gas industry experience
·  Proficient in Microsoft Office (Outlook, Word, Excel and Power Point), Surface Pro, Adobe Acrobat, iphone, icloud application, etc.
·  Experience with customer relationship management (CRM) systems would be a plus
