For our HR Shared Service Organization based in Cluj-Napoca we are looking for an:
HR Learning &Development Advisor (m/f)
Purpose of the Job
The HR L&D Administrators are responsible for dealing with all incoming HR L&D requests from Managers, Employees and HR Business Partners in our business Operations Centres. This involves organising trainings, maintaining employees` records, updating systems and escalating non-standard requests to specialist teams for action. The HR L&D Administrators support a range of different HR functions and have responsibility for a geographic cluster of countries, dependent on languages. As our first line support on HR issues for customers the job holder must resolve as many incoming service requests as possible to meet the business needs and ensure that the HR SSO meets its Service Level Agreements. Resolving requests includes an end to end generalist service to organise trainings, secure authorisations, address issues, inform suppliers and update systems. The job holder will also need to manage customers who are unclear about the nature of their request, provide incomplete information or request services outside the scope of the HR Operations, escalating any issues whilst ensuring that confidence of the customer is maintained and customer satisfaction goals are achieved.
Key responsibilities and challenges:
HR Service Request Handling
• Receiving incoming L&D requests and processing these using the Case Management Tool and/or relevant HR systems.
• Ensuring that the LMS systems (eHR/Sigal, BBA etc) are fully up to date with the recommended and agreed programmes.
• Ensuring that information provided is complete and accurate before updating records or processing requests.
• Manage the supplier PO raising process and recharges to the business.
• Consolidate the feedback in standard reports.
• Follow the work instructions for the service/country relevant to the request and ensure compliance with specific policies and procedures as required.
• Escalate non-standard requests.
• Forward requests with specific language/country requirements to the relevant colleagues as appropriate.
• Run standard reports on request for SSO colleagues and routine reports for customers.
Support Customer Queries
• Provide support and guidance to HR Systems users – including self service tools and the Learning Management Systems.
• Learn to use the Case Management Tool FAQs to develop and deliver responses to HR queries.

Qualifications
• Good general business and company processes understanding
• Typically holds 3-5 years overall working experience; 0-2 years of experience in a similar context - knowledge of CRM, SAP HR and systems supporting training would be an advantage
• Good level in Microsoft Office Applications
• Excellent customer management and interpersonal skills
• Good command of written and spoken English
• Good analytical skills and attention to details required
• Excellent time management and organizational skills
• Ability to work independently and drive results
• Positive and proactive attitude, with resilience under pressure
• Ability to work in a multicultural and multidisciplinary environment
