Records Officer

Would you like to be responsible for managing and supporting the Group Business Development function in the management of its company records and the compliance to the Document Creation and Retention, Security and ITAR policies?

We currently have a vacancy for a Records Officer at our Head Office site in Farnborough, Hampshire.

The role provides the opportunity to work on a global basis and will support both the UK and international offices and work with EITS (Enterprise IT Solutions) to develop their information management capability by:

· Driving an efficient document management process
· Implementing an information management system
· Ensuring compliance with DCRD (Document Creation Retention Disposal), Security and ITAR (International Traffic in Arms Regulations) policies
· Assuring continued compliance
· Delivering training on associated policies and systems

Your main responsibilities as a Records Officer will involve:

Managing the strategy for a best in class information management system by continuing to develop and deliver an Information Management capability

Support and contribute to the delivery and management of GBD Data Protection Compliance programme

Deliver the Record Manager obligations as laid out in the BAE Systems DCRD Policy and continue to develop and implement supporting processes and structures

Effective management of business records throughout their lifecycle, including:
· Minimisation of incomplete Record Declarations
· Maintaining control of business level metadata.
· Ensuring that records are retained in a manner which protects their usability, reliability, authenticity, integrity, preservation and value for the duration of their retention period.
· Ensuring that records can be located and retrieved in a timely manner.
· Ensuring appropriate security measures are applied to all Records under their control.
· Identification of any records where additional authority must be given before disposal.
· Ensuring that the ownership of Records is identified and maintained.
· Liaising with the business to identify when record disposal triggers have been met and ensuring that the relevant Records Management Systems are updated accordingly.
· Ensuring records that have met their retention requirements are reviewed for disposal in a timely manner.
Take the leading role in defining and implementing the configuration and management of the tool sets used to store documentation

Deliver the DCRD & Workspace communication and training framework, working collaboratively with identified Stakeholders across the organisation

Support the development and management of the continued assurance of compliance with the company policies.

Your skills and qualifications as an Records Officer :

Past experience with analysing data

Proven experience working ins a records management position required

An understanding of Assurance and Compliance processes and procedures would be advantageous

Data Management Systems understanding preferably using Workspace

Location: Farnborough - the role will require travel both in the UK and globally within the first year
