Job description

The Role:
Avamore are seeking a new Office Assistant & PA to join our expanding business. The individual will assist with the daily management of the office to ensure the smooth running of the business and provide PA support to four Principals.

Key Responsibilities:
• Forwards information by receiving and distributing communications; collecting and mailing correspondence; copying information.
• Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
• Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing meter fund
• Maintains office schedule by picking-up and delivering items where required
• Booking appointments and managing the diary of the four Directors, including the CEO and MD, including all meeting administration, accommodation and travel requirements plus assisting their partners/wives where required.
• Call handling and monitoring as part of the team
• Carrying out research on behalf of the Principals
• Undertaking basic administrative duties across the business
• Assisting with company marketing activities
• Preparation of company presentation materials including broker materials and investor materials
• Coordinating company events, panels, breakfasts, lunches and dinners etc
• Maintaining company and personnel records in conjunction with Directors’ requirements
• Drafting and preparing invoices for customers
• Prepare and administer all Directors meeting and Company Board meetings.
• Preparing loan enquiry forms on behalf of Principals ready for submission to the credit committee
• Identifying and connecting with target customers, brokers and investors and arranging meetings for the Principals
• Any other activity as reasonably required by the Principals

Skills / experience required:
• Motivated and focused self-starter who has the ability to learn new skills quickly
• Strong organisational and communication skills
• Detail oriented with commercial awareness of business requirements
• A strong grasp of written English
• Excellent proof reading skills
• Computer literate in Word, Excel and PowerPoint
• Proven experience in a customer service role
• The computer and numeracy skills needed to excel in a highly regulated environment
• A flexible approach to work, and the ability to work well as part of a dynamic team
