Job description
The Global Brand, Marketing and Digital Partnerships (GBMD) organization is responsible for creating marketplace demand and driving commerce for American Express through differentiated and innovative products, marketing and experiences. This is an exciting opportunity to join a dynamic, fast paced team for an individual who thrives in a busy and challenging environment. The Executive Assistant will provide varying levels of administrative support to two Vice Presidents on GBMD's Global Sponsorships & Experiential Marketing team.
Key Responsibilities include, but not limited to:
• Calendar management on a daily basis, as well as forward planning on a weekly and monthly basis.
• Coordination and management of all travel arrangements including air, hotel, transfers, etc.
• Office-wide operations including the maintenance of distribution lists and databases.
• Interface with Executives, Associates and other internal and external business contacts to coordinate meetings and resources when necessary (e.g., supplies, rooms, logistics, etc.)
• Proactively ensuring that the VPs are apprised of all upcoming meetings and preparation required.
• On-board new employees to ensure a seamless transition and off-board exiting employees.
• Processing of Ariba requests; electronic and hard copy filing of presentations and other materials; the archiving/back up of office computer systems.
• Prepare and review expense reports, in line with company policy on a monthly basis.
• Timekeeping, office supply management, and occasional new hire set-up.
• Help set up VP team meetings, off-sites, and team functions.

• Knowledge of the following systems is required: MS Office, Outlook, Concur
• Expense, Ariba Buyer, PeopleSoft, Axiom or corporate travel booking systems, etc.
• Strong sense of integrity with ability to handle sensitive issues and maintain complete confidentiality.
• Keep up to date with office procedures and technical training as well as all policy guidelines and compliance requirements.
• Professional demeanor and positive attitude.
• Serve as critical part of the team as well as take personal accountability.
