DESCRIPTION
The Amazon in the Community (AITC) team is seeking a motivated Executive Assistant who has strong business operations experience that can jump in and support a rapidly evolving global organization. In this role, you will serve as a seamless extension of the AITC Director, providing both administrative and rhythm of the business support. You will have the opportunity to establish best practices and improve or build out processes, including planning events, managing budgets, improving tracking systems, and interacting with a broad array of people externally and internally. You will support critical relationships and areas of focus for the team, such as expansion plans, recruiting and requisition efforts, goal tracking, and other ad hoc project work.
The right candidate will have great attention to detail, exceptional organizational skills, and the ability to anticipate and prioritize responsibilities to meet tight deadlines. As the right hand to the Director, you will be required to have high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company, is critical. The successful candidate will also possess strong judgement and the ability to complete complex tasks quickly with little to no guidance. This includes reacting with appropriate urgency to situations that require a quick turnaround and taking effective action without knowing the whole picture. Finally, you must be able to work successfully in a growing team environment and build effective working relationships inside and outside the group.
Key Responsibilities include:
· Support AITC team by serving as lead for all Director owned team meetings/events, business reviews, planning sessions, and summits.
· Oversee AITC budgets and expenditures and train/improve AITC, Finance, and PR colleagues on finance systems and reporting.
· Draft correspondence, including proofreading and editing important documents.
· Track key metrics and corresponding deliverables.
· Create or improve upon existing communication mechanisms.
· Dive into and build new processes, including learning and adopting new tools to drive productivity.
· Manage Director’s calendar, including a high volume of external meetings, and effectively prepare the Director in advance of meetings.
· Manage Director’s domestic and international travel, and expense reports.
· Manage team space, including moves and re-configurations.
· Manage part of director’s inbox.

PREFERRED QUALIFICATIONS
· Bachelor’s Degree.
· 1+ year experience developing and managing budgets.
· 5+ years of prior executive assistant experience.
· Proficiency in systems such as Salesforce, SharePoint, WorkDocs, and Quip.
· Highly motivated, organized individual who is able to work effectively with minimal supervision and able to act as a leader to the team.
· Demonstrated ability to look around corners and anticipate needs or areas for improvement.
· Strong analytical skills and demonstrated ability to improve processes.
· high judgement, integrity, and discretion.
Desired profile
BASIC QUALIFICATIONS
· 3+ years or providing administrative support or project management for a senior leader.
· Demonstrated experience designing processes to maximize efficiency.
· 5+ years of experience using Microsoft Outlook, Excel, PowerPoint and Word.
