Poste et missions:
A VIE position Communication
- Special Events (m/f) has arisen within the Communication team at Airbus America Headquarters in Herndon, Virginia. The departement is responsible for internal and external communications, tradeshow exhibitions events, etc. accross Airbus America Divisions in the United States
The contract is for 18 months and starts on October 1, 2019 at the earliest.
Your activities will consist of:
1.Event Management
- Manage Airbus participation at key events with customers and industry partners enhancing the company’s profile.
- Negotiate with, select and contract with event vendors such as caterers, venues, audio visual companies and photographers.
- Oversee event invitation process including developing lists, creating invitations and managing responses.
- Develop and manage event budgets.
2.Event Support
- Work closely with Communications Manager on all aspects of planning, execution and management of the annual Wings Club Dinner in New York City. Assist with invitation process, planning and execution of receptions, meetings and key customer contacts.
- Provide logistics support for other events across the company that occur throughout the year (Could include Customer Milestones and Deliveries, Customer Services Sponsorships, Events at the Airbus Experience Center and the annual Awards of Excellence as well as the Oshkosh Airshow).
- Develop events tools including calendars, timelines, online registration forms and evaluation process.
- Track and manage budget/expenses related to each event; Process and monitor invoices.
3.Corporate Gifts/Promotional Items
- Work closely with AFSO – the Airbus global promotional items supplier
- Ensure that all corporate gifts reflect and adhere to the corporate brand
- Maintain the internal promotional items website; generate reports and track costs
- Liaise with Customer Services/Field Service Representatives on gift requests
- Create/Track Budget and Expenses for Promotional Items Gifts.
- Develop and communicate corporate gifts policies for internal clients and customers in line with Ethics and Compliance policies.
4. Tradeshow Support
- Plan, direct and oversee all aspects of the Airbus presence at the Women In Aviation International Conference
- Work closely with the Tradeshow and Exhibitions team to support select defense and general aviation annual shows across the business divisions in the U.S.
- Oversee logistics of Airbus booth to select tradeshows in the U.S.
- Update booth graphic panels and structure as needed.
- Work with internal customers on tradeshow needs and materials/promo items.
5. Sponsorships
- Provide support as needed with the facilitation and deliverables of select Sponsorships, Donations, Membership for Airbus Americas.
6.Procurement
- Provide support as needed with the Airbus Procurement Process.
7.Internal Communications Support
- Assist Internal communications team to include :
- Airbuzz TV postings
- Monthly compilation/release of “In Case You Missed It” news to all Airbus Americas employees
- Support internal team for Airbus Live Town Hall events
- Assist in planning and execution of select Airbus employee/internal events
8. Communications Support
- Support communications team members as needed on specific projects in areas that could include internal communications, social media, corporate branding and corporate communications.
Selected candidate will report to a Communications Manager, Airbus Americas, Inc. in Herndon, Virginia.
This role will involve travel for business in USA, the frequency will depend on the activities.
Profil:
- Educated to a 5 year’s degree in Communication.
- Previous experience(s) of
- at least
- cumulated 52 weeks (including internships and apprenticeships) in a similar position is required (eligibility criteria for the Visa)
- Fluent in English (French would be a plus)
Writing skills – proficient in writing in English
- Proficient in Microsoft Office, GSuite, sophisticated databases and desktop publishing. Photoshop, InDesign and other graphics/design skills a plus.
- Writing skills – proficient in writing in English.
- Previous event planning experience would be a plus.
- Aviation knowledge a plus.
- Must be a self-starter with team spirit and able to work autonomously. Must be creative, flexible and adaptable.

- Ability to work well with colleagues in a culturally and internationally diverse environment.
