Senior Document Controller
6 Month Contract (Likjely extensions)
Birmingham or Warwick (1-2 days onsite per month)
Purpose of the role is ensuring robust management of project documents, records and deliverables on multiple On-shore projects in line with existing and evolving ways of working.
The role will support the Document and Records Manager in implementation of document and quality records processes, ensuring compliance with company standards and procedures
As a senior document controller, you will be responsible for day-to-day management of project information and supporting project teams in applying correct quality document control processes.
Key responsibilities include:
· Acting as a first point of contact for Project Mangers in all matters related to document controls on their projects. (Manage and keep up to date Project Master Deliverables Register)
· Manage key information delivery processes such as incoming and outgoing transmittals for variety of purposes, ensuring actions are logged and timely responses returned, and audit trail is maintained.
· Managing request for information processes, ensuring actions are logged and timely responses returned, and audit trail is maintained.
· Ensuring application of metadata standards and performing regular audits within SharePoint project sites and document deliverables.
· Administering Project SharePoint Sites, ensuring access control in line with access permission matrix.
· Providing first line assurance for document and records, ensuring minimum quality checks are performed and issues resolved in line with procedures.
· Provide weekly report to Project Managers on performance and actions related to project documentation.
· Provide training to project teams on correct processes, provide hands on support where required.
· Identify and implement improvements in existing processes and procedures.
· Support transition and migration of project documentation to new Common Data Environment (Autodesk Construction Cloud) platform.
Key skills and experience
· Good understanding of major infrastructure project information delivery processes and challenges
· Significant hands on document management and quality record management experience.
· Highly experienced in SharePoint administration and its use as project information repository.
· Experience in range of Electronic and Documents and Management Systems (EDMS)
· Meticulous attention to detail and compliance with standards and processes.
· Good communication and engagement skills.
· Competence in a range of MS office tools such as excel, word and other utility tools.
· Experience in implementing and administering SharePoint as project CDE platform.
· Experience in energy transmission sector desirable.
