We have an exciting opportunity for an experienced Receptionist/Administrator to work within the Occupational Health Team at Northamptonshire Police.

This role will be office based at Towcester Road, Northampton.

Northamptonshire Police are looking for a permanent member of staff to join them working Monday to Friday 37 Hours a week.

PURPOSE OF THE JOB:
To support the aims of Northamptonshire Police (and Northamptonshire Fire) by providing effective and efficient Occupational Health Reception and Administrative support. To assist in the smooth running of the Occupational Health Service in general, and the reception area in particular, and to project a positive and friendly image to our clients; line
managers; HR and other professionals who may contact us either in person or via the telephone.
* To facilitate clients accessing the services provided by the Occupational Health Service.
* To support the Clinical team in providing these services.
* To act as first point of contact for anyone accessing the service.

MAIN RESPONSIBILITIES:

·  To project a positive and friendly image to our staff and potential new staff who may come. into contact with the Oh service either in person, by phone or by email.

·  To manage the flow of clients arriving at OH for appointments and queries.

·  Scheduling and Booking of all appointments, changes to appointments.

·  Preparation of clinical files for OH clinics, including the pulling and filling staff records for appointments, clinical staff and answering enquiries.

·  Facilitating the referral of clients to the in-house services provided by the psychological service, and physiotherapist.

·  Ensuring building security throughout the day and before leaving at the end of the day ensure the building is secured and alarm activated.

·  Maintenance of the OH record management system.

·  Stock checking and ordering of stationery and medical supplies necessary for the delivery of Oh services.

·  Provide admin support to clinical staff.

·  Answering the telephone, monitoring and managing the emails in the OH inbox. Opening/actioning ad preparing mail in and out of the service.

·  Raise purchase orders on behalf of OH. Continue to monitor these purchase orders to ensure they are paid on time, liaising with requestors as necessary.

·  To ensure integrity of OH Data and ensure compliance with MOPI and local confidentiality agreements and AMRA 1988.

Essential criteria:

·  Previous reception and administrative experience in a busy department

·  Demonstrate a level of data protection and GDPR regulations and AMRA. Evidence of working in an environment where maintaining a high level of confidentiality is critical.

·  Excellent verbal, written and interpersonal skills, to communicate confidently and effectively at all levels maintaining confidentiality, whilst maintaining good working relationships with a diverse range of people.

·  Evidence of working in a customer focused environment where the ability to resolve queries and enquires electronically, face to face and over the phone has been crucial to service delivery.

·  Accuracy in the arranging of appointments via telephone and email and the filing of staff information.

·  Computer literate with a good working knowledge of Microsoft Office.

·  Experience of prioritising and organising workloads to meet deadlines.

·  Demonstrate a level of awareness of equality and diversity issues appropriate to this role.

QUALIFICATIONS:
Essential

·  GCSE English & Maths A - C

·  NVQ level 2 or equivalent Business/admin or customer service

·  Minimum of working in similar environment for 1 year

Desirable Criteria:

·  Previous experience of working for public service, Police and/or Fire and Rescue Service

·  Experience of working in a Healthcare environment

·  NVQ Level 3 Business/admin

·  Experience GP or other health care administration/receptionist
