Adecco are currently seeking a Maintenance Co-ordinator for a well established company based in Ashford, you will be required to work 8.30am till 5.30pm and the salary is up to £ 19,000.

Job Purpose: Responsible for general administration and the smooth running of all Administration Dealing with customers via telephone/email/letter and also accounts, stock control, technical support to ensure the high level of customer service is achieved at all times.

Daily tasks:

·  Booking maintenance/reactive visits - incoming and pro-actively making outgoing calls

·  Raise jobs for engineer's

·  Updating engineer's board

·  Taking customer/engineer calls, directing/handling appropriately

·  Dealing with customer enquiries, ensuring a satisfactory outcome

·  Managing key customer accounts

·  Setting up new accounts

·  Updating/amending accounts

·  Updating Monitoring station with changes to key holders, confirming back to customer once changes have been made

·  Deal with queries from Monitoring stations concerning key customer accounts

·  Check engineer team are on way to/at first job on time (using tracker)

·  Open diary - check jobs are correct on PDA

·  Check personal emails

·  Check communal in-boxes and dealing with as required by prioritizing

·  Run reports and action accordingly by logging reports, contacting customers, raising engineer visit as required

·  Taking in-coming customer calls, handling and ensuring successful outcome

·  Pro-actively contacting customers to arrange maintenance visits due, and to ensure that we

·  meet our KPI's

·  When talking to customers to book appointments need to check contact number and email addresses are correct

·  Raise jobs for engineers

·  Put jobs onto the engineer's board

·  Keep a regular check on the location/working day of your engineer team, talk to them to discuss any pending/possible issues with their day

·  Carry out customer satisfaction calls

·  Check that all engineers have full days work book to the best logistical advantage

·  Ensure that all jobs are sent to your engineer team by agreed time (3pm)

·  Ensure that engineers are advised of any parts/kit require for jobs, this needs to be checked regularly in advance to be logistically practical about collection from stores

·  Check that all jobs have been sent

·  Update the system with any additional client information provided by engineer

·  Ensure any relevant documentation from/regarding client are logged

·  Liaise with stock controller/technical support engineer to arrange parts for return visits and rebooking

·  Scanning of paper worksheets and closing down of site visits, emailing worksheet to customer, passing to Technical support engineer if quotes required or passing to accounts for invoicing.

·  Arrange call-out appointments ensuring customer's KPI's are met

·  Booking maintenance visits for Key customers as per their schedule/incoming tasks

·  Update Key customer spreadsheet as required and sending to client to meet KPI

Other duties may include:

·  Monitoring invoice report - check details then pass to accounts for invoicing, once returned move the date on

·  Close down relevant month maintenance's - any not booked check correct number of letters/calls have been made if no response make deemed done until next visit due

·  KPIs and monthly reports as required to include:

·  Maintenance statistics

·  False alarm statistics

·  Cancellation log

·  Call out response analysis

·  Assist the Admin Team in all areas

·  Cover for others during staff absence

·  Any other duties as and when required

You must have a sound knowledge of Microsoft applications, good keyboard skills, good organisational skills, attention to detail, good telephone voice and manner, good interpersonal skills, articulate/command of English language and the ability to take ownership of issues and resolve
