Customer Services Administrator

Location: Harrow

Salary and working hours: £22,000

Job description

·  Supporting all field sales staff:

·  Correspondence -

·  Quotation - Receiving Quotation request form and turning them into quotes

·  Travel requirements for sales & technical i.e. hotels, flights etc.

·  Invoicing using our invoicing system - checking received orders and making sure that they correspond with the quotes before invoicing the customer.

·  Ordering Small ticket items and 3rd party software from the supplier

·  Sending software licences to customers.

·  Ordering software licences where required.

·  Maintenance:

·  Issuing maintenance renewal, email reminders and chasing by phone

·  Ensuring invoices are sent out promptly and correctly.

·  Making sure that all maintenance leads are up to date

·  Informing Technical Support/Customer Services when maintenance is renewed

·  Updating licence programs with expired or renewed maintenance for ITS software

·  Ensuring all maintenance reports are up to date & keep maintenance files in good order.

·  Post Sales Care

·  Confirming Orders Received

·  Licensing in house software

·  General administration and responsibility for improving sales office administration procedures (i.e. Post, filing; Document submission procedures; Interfacing with other departments) as well as be a key coordinator

·  Enforcing the proper use of in-house customer database.

·  Responsible Usage of the customer database, Leads and Reports.

·  Accepting sales calls, classifying and assigning the re-calls to the relevant Sales Staff.

However, the obligations upon you will inevitably vary and develop and the Employer reserves the right at any time during your employment to require you to undertake any duties, which fall within your capabilities. The Employer also reserves the right to require you to attend exhibitions or training courses anywhere in the UK and to require you to remain away from home for such period as is reasonably necessary to comply with this requirement.

·  Advanced Microsoft Office skills

·  Understanding of software licensing
