Reports to: Finance and Projects Manager
Responsible for:
· Working closely with the Finance and Projects Manager on all aspects of the job, to include:
· Accounts Payable, Accounts Receivable, Bank, RMAs, and other General Office Duties.
Liaise closely with: Shipping/Warehouse and Sales
TASKS
Responsibility is shared between the post holder and the F&P Manager, with support from other staff as required.
Finance - 95%
Accounts Payable:
· Checking and Processing Supplier Invoices, including Courier Invoices
· Entering "Company Purchases" onto the database (Supplier PO)
· Checking and processing Credit Card Statements
· Payments to Suppliers, including pro-forma payments
· Dealing with Credits for suppliers
Accounts Receivable:
· Set Up Customer Credit Account
· Enter and Monitor Customer Credit Limits
· Creating Pro-forma Invoices
· Record on the Database the payments made to the company's bank accounts by customers
· Receiving payments from Customers by Credit Card
· Phone calls, Reminders and Statements to Customers with overdue amounts
· Pursuing a Bad Debt
· Managing a Customer's Status on Brokerware
· Liaise with Shipping/Warehouse re Accounts on Stop
Other Financial:
· Monitoring the Bank Accounts using Internet Banking.
· Other entries to the Cashflow on the Database
· Update Exchange Rates on Brokerware
· RMAs - process the returning of parts from Customers/send back to Suppliers
· [VAT Returns, EC Sales List, Intrastat Reports - all automated on the Database / usually by F&P Manager]
· [Bank Statement Reconciliations / usually by F&P Manager]
Administration - 5%
· Re-ordering office and stores supplies, Uploading Stocklists, Filing
· Goods In and Goods Out - occasionally

Qualifications & Experience
Required:
· GCSE English and Maths at Grade C (equivalent) or above
· Previous experience of a similar role is essential
Desirable:
· An Office Administration or Accountancy Qualification

Salary : £15,500 - £17,000 (depending upon experience)
Hours : 8.45am to 5.30pm (Mon-Thu) and 8.45am to 4.30pm (Fri)
Lunch : 1 hour
Holidays : 20 days plus Bank Holidays, keeping 3.5 days for Christmas closure
Sick Pay : Statutory Sick Pay
No Smoking : On the Premises
Own Transport : Essential
Confirmation : Probationary period of 6 months
