Job Description
This role is about more than coordination, it’s about precision, connection, and bringing opportunities to life. The Sales Office Manager is a highly organized and detail-oriented professional who supports the Sales team in delivering seamless, elevated experiences from the very first inquiry. With a strong sense of ownership and a proactive mindset, this role ensures every detail is handled with care, accuracy, and intention.

What You'll Be Doing:
Sales & Client Coordination
· Coordinator and participate in site inspections alongside the Director of Group Sales, Director of Sales & Marketing, Regional Sales teams, and Global Sales Office partners.
· Supporting and organizing key industry events for clientele across multiple segments.
· Review group opportunities to maximize both guest experience and business performance through thoughtful optimization of guestrooms and event spaces.
· Continuously seek opportunities to improve the efficiency and impact of client visits, sales initiatives, and internal processes.
· Prepare all site and group segment’s Business Development Trip (BDTs) forms and arrange details as needed by Regional Sellers.
· Foster strong relationships with Sales, Marketing, Public Relations, Wellness, Conference Services, and operational leaders to ensure every client interaction is delivered seamlessly.
Systems & Administrative Excellence
· Administer departmental payroll through Dayforce.
· Manage invoices, expense reporting, purchasing, and monthly accruals using Birchstreet and Concur.
· Prepare month-end financial reporting, including profit and loss analysis, general ledger reviews, foreign exchange reporting, and departmental forecasting.
· Assist with sales & marketing budget creation, adhering to corporate budget guidelines and hotel specific requirements.
· Oversee onboarding for new Sales & Marketing colleagues, ensuring they have the tools and resources to succeed from day one.
· Coordinate community donation requests, including gift certificate creation, approval, fulfillment, and tracking.
· Produce accurate sales, banquet, and commercial performance reports that support strategic decision-making.
· Coordinate office administration, purchasing, business cards, client gifts, mail distribution, and documentation.
· Support strategic tasks and administrative duties.
· Attend regular Sales, Conference Services, and operational meetings to stay aligned and informed.
· Other duties as assigned
Qualifications
What You Bring
· Post-secondary education in Business Administration, Hospitality Management, Marketing, or a related field.
· Sales Coordinator, Sales Administrator, or Sales Operations role, preferably within luxury hospitality, hotels, or resorts.
· Ability to analyze and draw conclusions from data
· Understanding of sales processes, financial administration, budgeting, and reporting.
· Advanced proficiency in Microsoft Office Suite, particularly Excel
· Exceptional organizational skills with the ability to manage multiple priorities while maintaining meticulous attention to detail.
Bonus If You Bring
· Familiarity and knowledge of Banff National Park
· Previous experience using Delphi, Dayforce, Birchstreet, Concur, or similar hospitality systems.

Physical Demands
The role of Sales Office Manager is primarily office-based, with occasional movement throughout the resort. The position requires:
· Extended periods of sitting, standing, and computer use
· Participation in site inspections and resort walkthroughs
Visa Requirements : Must be legally authorized to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
