WHAT YOU CAN EXPECT

An exciting permanent position has arisen for an Executive Assistant to join our Corporate Branding and Communication office based in London, where the successful individual will support the Executive Board Member (EBM), enabling her to focus on leading the Corporate Branding and Communication business by supporting the EBM with extensive diary management, inbox monitoring and coordination of travel.

Key duties will include but are not limited to:

·  Extensive diary management. Working closely with internal colleagues as well as external VIP industry contacts.
·  Organizing and coordinating all meetings & conference calls, often encompassing various time zones. Being aware of any sensitive issues that require urgent attention.
·  Managing the inbox of the Executive Board Member, monitoring the emails, flagging and where appropriate actioning or responding to requests on her behalf.
·  Fielding calls & requests to the relevant divisions or actioning as necessary. Ensuring the Executive Board Member is made aware of all urgent matters.
·  Communicating important instructions to external stakeholders on behalf of the Executive Board Member, as and when required.
·  Anticipating what information will be required in advance of meetings and preparing such information, in a timely manner.
·  Ensuring all important dates, including board meetings, conferences, exhibitions and events are in diary.
·  Coordinating all business travel and accommodation arrangements (e.g. commercial and private airlines, Eurostar, drivers, car hire, hotels etc.)
·  Providing detailed itineraries for all trips, ensuring all information is also accessible electronically. Include contact information for all meetings and events. Ensure invitations and any related pre-reading is also included.
·  Coordinating all business gifting on behalf of the Executive Board Member.
·  Overflow support to the Business Manager including meeting preparation.

WHAT WE EXPECT

The ideal candidate will have the following skill set and experience:

·  Experience in supporting high level business professionals with complex diary management
·  Excellent IT skills with a good knowledge of all Microsoft packages and Apple
·  Degree level educated or equivalent
·  Excellent written and spoken English and German would be beneficial but by no means essential
·  Proven experience monitoring manager's inbox and providing daily updates
·  Excellent scheduling skills
·  Solid understanding of luxury sector
