Job Overview and Responsibilities:

Site Administrative Assistant/Receptionist to provide day-to-day support for our Houston laboratory. Responsibilities will include general clerical and office related duties. Provide administrative supportincluding: phone coverage, purchase order management, calendar management, conference and meeting arrangement, mail distribution, travel arrangements, catering, recruiting documents preparation, filing, typing, and database maintenance.

Key Responsibilities:

·  Coordinate and plan business meetings on and off site.
·  Compose/type/proofread business correspondence.
·  Support team with special projects as assigned.
·  Maintain confidence on employee and business issues.
·  Generate and track purchase orders and P-cards.
·  Investigation and follow up of problem issues, i.e. invoices/ payments, following up with vendors concerning payments or problem.
·  Route and answer routine correspondence without supervision, screen calls and handle routine inquiries.
·  Daily distribution of incoming mail; preparation of out-going mail.
·  Maintain materials and resources for department (i.e., corporate materials, supplies, calendars, brochures, etc).
·  Prepare recruiting documents and schedule interviews.
·  Coordinated all catering logistics for office events and manage the coffee room supplies.
·  Provide administrative support for all departments as needed.

Education and Experience:

·  High school diploma required; Bachelors Degree preferred. 
·  Must have at least three (3) years of administrative experience

Skills:

Strong attention to detail required
General administrative knowledge of office procedures
Ability to handle confidential information
Proficient with MS Office- Word, Outlook, Excel, PowerPoint.  SAP experience is helpful.
Must be motivated and a team player
Must possess strong organizational skills and the ability to multi-task
Good interpersonal skills; capable of interacting appropriately at all levels of the organization
Must have strong written and verbal communication skills
