The Industrial function’s role is to help the Solvay Group in safety initiatives and support the group's transformation in operational excellence.

Job Overview and Responsibilities

The Administrative Assistant will work, in a professional manner, with internal and external customers while performing administrative tasks and services to support effective and efficient operations to the organization and senior staff. Duties will include, but are not limited to, answering and directing departmental phone calls; receive and distribute office mail and site communications; schedule and organize meetings, appointments, and travel accommodations for senior staff; maintain accurate and up-to-date files, records and documentation; assists hiring managers with onboarding processes, answering frequently asked questions from applicants and employees relative to standard policies and benefits, arranging interviews and sourcing of resumes.  Assists site leaders with absence management; maintain the integrity and confidentiality of files and records; performs periodic audits of files and records to ensure that all required documents are collected and filed appropriately; provides clerical support to the organization and management staff; acts as a liaison between the organization and community groups; conducts and assists with planning and execution of special events such as organization wide meetings, employee recognition events, holiday parties and retirement celebrations; assists with invoice processing and check requests for the department; and performs any other duties as assigned.

Education and Experience

·  Associates degree in business related field required
·  3-5 years of experience in an administrative role is required

Skills

Excellent verbal and written communication skills; excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy; excellent organizational skills and attention to detail; proficient with Microsoft Office Suite or related software with the ability to learn new or updated systems; proficient with or the ability to quickly learn information systems and similar computer applications; excellent time management skills and a proven ability to meet deadlines; ability to function well in a fast-paced and at times stressful environment.

Additional Information

Successful candidate must be able to meet the schedule requirements (4/10 schedule, onsite).
