Job Introduction

We currently have a new opportunity for a Seasonal Planning Assistant to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

To ensure that all information received directly from a client, ARL (Ascot Racecourse Ltd) or the salesdepartment is managed correctly through the system.

To handle telephone enquiries for boxes hospitality along and ensure all queries are dealt with quickly andefficiently.

Processing boxes order forms, stock sheets and fine wine enquiries.

To support the planning team when required and undertake any reasonable requests made by the Head ofPlanning, Planning Manager and the Boxes Operations Manager.

To liaise with the kitchen, cellar and logistics teams to ensure all client requirements are communicated andupdated as necessary.

To produce menus and wine lists ready for printing as required for each race day and liaise with the printersto ensure deadlines are met and all box holders receive the correct information.

Prepare and complete menu tasting notes in conjunction with the Head Chef for Royal Ascot and Ascotrace days.

To produce paper work and menus for each floor manager.

To maintain departmental information folders.

General administration and office duties.

Producing table menus for all boxes at Royal Ascot and on Ascot Race days.

Desired profile

The Ideal Candidate

Good customer service skills, polite telephone manner and attention to detail.

Knowledge of Microsoft Office specifically Word & Excel.

Flexible approach to working hours especially on race days.

Ability to manage multiple tasks through organisational skills and prioritise information.

Desirable - At least one year’s experience of event administration / planning.
