Job description

An exciting opportunity has arisen for a Quality & Document Controller to join the team on an 18 monthfixed term contract covering maternity.

The key focus of this role will be to ensure effective operation and control of the company Documentation Management System to ensure compliance and continuous improvement of the business.

The Challenge

· Ensure effective operation of the site documentation archive system to ensure compliance and ease of retrieval of documentation in line with Maintenance requirements.
· Communicate effectively, providing relevant information in a timely manner, both verbal and written, with direct reports, peers, line management and the customer to build trust and co-operation across the business.
· Ensure that staff complies at all times, with the relevant Health & Safety, Quality and Environmental Standards, e.g. ISO9001, ISO 14001, OHSAS 18001, as documented within our company Quality Management Systems.
· Capture monthly reporting input such Fatigue Index Management hours and Operational Dashboard for display
· Manage and maintain HQSE Action Tracker
· Organises and effects continual improvement in depot administrative or organisational processes
· Allocate unique identifiers for all documentation and maintain the document and change request management databases
· Provide commercial support with supplier invoice processing and journal uploading into SAP
· Raising electronic requests to purchase and Goods receipting in OneSRM
· Maintain staff holiday register and holiday pay provision register
· Provide IT support by setting up new users as well as leavers for IT hardware and systems
· Maintain IT user and hardware database
· Formal release and distribution of controlled documents
· Maintaining controlled and other documentation as required
· Undertakes more complex administration duties for senior management team as and when required
· Arranging meetings and booking rooms, ensuring rooms are presentable
· Typing of meeting minutes / confidential documents and correspondence

The Quality & Document Controller (You)

· Demonstrated experience in Quality Systems and document control
· Experience of configuration management tools and databases
· Good Interpersonal and communication skills both oral and written and work with a variety of personnel at various levels
· Effective organisational and time management skills
· Competent in all aspects of administration processes and procedures
· Good level of computer literacy, with excellent attention to detail and the ability to work without supervision
· Accept a personal responsibility to take reasonable care for the health and safety of themselves and of other persons who may be affected by their acts and omissions
· Take reasonable care to avoid acts or omissions that could have an environmental impact
· Ensure compliance with the BMS procedures relative to their position, follow emergency procedures
· Wear approved protective clothing and using safety equipment when required by health and safety regulations
· Use all equipment provided safely and notifying local management of any observed deficiencies or defects as soon as they become apparent
· Inform management of any changes in materials, plant or processes and of any new materials, plant or processes which become apparent in the course of work that may impact on safety or the environment
· Inform management of any potential improvements that could improve Siemens Mobility environmental performance
· Immediately inform management of any observed hazards, injuries or dangerous occurrences, which become apparent during work. Stop work when instructed to do so and only resume or commence work when instructed it is safe to do so
· Report all safety and environmental incidents and accidents
· Cooperate with the employer to ensure their statutory duties are fulfilled
