Job description

Siemens Healthineers arerecruiting an Administrator to join their managed services team who are based in Southampton General Hospital. The administrator is needed to ensure the provision of a first class Managed Equipment Service in accordance with the needs of Patients, Clinicians and Siemens' contractual obligation and core values as a member of the Managed Equipment Service Administration. The service must be provided in accordance with Key Performance Indicators - with the objective achieving consistently high Customer & Staff Satisfaction targets and maximising financial performance.

What are my responsibilities?

Helpdesk:

· To provide, organise and manage Helpdesk services
· Liaison with the equipment users and service centres
· Schedule planned and reactive service visits
· Ensure the helpdesk software systems are current, operational and up to date.

Maintenance Contracts:

· Generate monthly report and indentify contracts due to expire.
· Liaise with Clinicians & staff to establish which contracts are to be renewed, what equipment is included and at what level ofcover.
· Obtain quotes from manufacturers and other third parties.
· Complete all relevant paperwork in liaison with the Procurement Department.
· Raise Purchase orders as required.

Equipment lists:

· To keep the contractual equipment list current, ensure all relevant information is recorded accurately and to record changes.
· Identify condemned equipment and organise disposal within the agreed guidelines.
· Raise internal paperwork and update internal systems.
· Arrange for third parties to collect and dispose of equipment.

Procurement:

· Raising and tracking Purchase order requisitions
· Validating goods received against invoices and rectifying any discrepancies.
· Updating SAP

Customer Satisfaction Surveys:

· Distribution of questionnaires within the hospital.
· Collation of data and presentation of quarterly reports.

Monthly Reports:

· To assist with the production of the Monthly Performance Report in liaison with the Manager Equipment Service Manager and to produce other management information as required.

Commercial Awareness:

· Develop a level of understanding of the contract deliverables required in order to correctly perform the role.

General Administration:

· Maintaining stationery supplies, arranging postal deliveries, receipts and couriers.
· Ensuring that filing systems are established and maintained for all relevant internal and contractual operations.
