Job summary

This position reports to the Executive Assistant, and requires providing assistance to other departments on a regular schedule as determined by the EA. This includes assistance to the CEO’s office, Technical Accounting Department, CFO’s office, and Human Resources Department. Many of these tasks are time-sensitive, and it is the responsibility of the incumbent to organize the time and resources to accomplish them within the timeframes required.

- Key duties and responsibilities

· Covering Reception, ensuring that the reception lobby is presentable at all times.
· Attending to all deliveries, inbound and outbound mail and faxes.
· Ensuring that all supplies are appropriately stocked in all areas of the office.
· Arranging offsite storage and box recalls.
· Providing support to the Executive Assistant for Event Planning as well as other duties as required.
· Booking of internal meetings and meeting rooms.
· Preparing Expense Reports as needed
· Preparation of Administration Department Cheque Requisitions.
· Arranging for access to office for visitors
· Other Administrative duties as assigned by Executive Assistant and management.

- Required experience and Education

Experience: 2-3 years of applicable experience

Personal Competences:

· Conscientious, responsible and professional
· Strong customer service skills and the ability to discover and meet colleagues’/clients’ needs
· Ability to learn proprietary in-house software program and ensure accuracy of data entered
· Strong working knowledge of Microsoft Office Suite, including Word, Excel & PowerPoint
· Proficiency with Switchboards
· Ability to communicate effectively both in writing and verbally
· Demonstrated ability to work autonomously with excellent multi-tasking and time management skills to meet very strict deadlines
· Ability to work as a team, along with the Executive Assistant, to ensure the smooth operations of the reception, as well as all areas of the business

Required Education

· High School - minimum
· Some College preferred, or a combination of education and experience
