Job Purpose

The General Administrator & Procurement has the main responsibility to “run” the daily back office operations.

Within the European organization of Software division, the successful candidate will be responsible for all aspects of administration related to our Dutch location in Baarn, Netherlands as well as providing support to our German offices and other northern European countries.

This role is part of a major group reorganization, with the creation of a dedicated, autonomous Software division. The successful candidate will need to be autonomous, eager to take on challenges and operate in a team environment which is being set up, in coordination with the rest of the team located in other different locations (Spain, Italy etc.). Some travel may also be required.

This role is ideally based in Baarn, however can also be based in Frankfurt depending on the candidate's current location.

Principal Accountabilities

· You manage, coordinate and oversee various functions for the facilities organization including indirect procurement, maintenance of office and equipment, warehouse
· You are in charge of the procurement for Netherlands, Germany and other Northern European countries if need.
· You coordinate and to purchase orders within budget guidelines and to file monthly reports to accounting, corporate, and/or facilities management.
· You organise the reception & shipment of goods
· You arrange occasional staff and visitor travel and accommodation
· You arrange meetings/hospitality arrangements for visitors (setting up room as required, ordering and providing drinks, food etc)
· You supervise VISA creation for visitors (support letters from office and LOIs for colleagues)
· You manage Expense Notes and credit cards
· You perform other ad hoc & one-off tasks

Qualifications :

Knowledge, Skills and Experience Required

·  You have Office / Facilities experience
·  You are a good communicator, with good organizational & administrative skills
·  You're a quick learner who has attention to detail
·  You have the ability to think on your feet and adapt to a fast-changing environment; remembering all key details of current tasks, multi-tasking and prioritizing as necessary, including the ability to pre-empt people's requirements and act in anticipation
·  You are diplomatic, presentable, approachable and able to deal with people at all levels
·  You speak Dutch or German, and English
·  You are a proficient user of Microsoft Office
·  (Desirable) You have SAP knowledge
·  (Desirable) You have accountancy knowledge
·  (Desirable) You have a degree in Economics and/or similar
