Summary: Administrative Assistant

Under supervision, performs administrative and office support activities for approximately four members of PELCO's leadership team. Extensive office software skills, and strong written and oral communication skills required. The ability to multi-task, while maintaining complex schedules and supplying cross-functional administrative support, globally, is essential in this position. The ideal candidate possesses excellent communication and organizational skills. The position is based at our PELCO headquarters, in Fresno California.

What do you get to do in this position?

· Arranges and schedules complex meeting, conference calls and reoccurring meetings involving multiple stakeholders and/or across multiple time zones.

· Arranges and schedules local lunch/breakfast team meetings.

· Compiles and generates expense reports for executives, as requested, facilitates correction and compliance resolution and escalates issues as needed.

· Reviews and process expense statements, invoices and check requests.

· Reviews E-Requisitions, ensuring expenses are compliant with Company policy; facilitates correction and compliance resolution and escalates issues as needed.

· Prepares monthly reports at the executive level, to include collecting, formatting and consolidating information.

· Compose, gathers, compiles commercial documents to include NDA (non-disclosure agreements) and other (sales) related contracts.

· Compose, gathers, compiles, verifies and analyzes information for use in documents such as letters, memos, reports, and presentations.

· Compiles and composes various sales communication mediums, documents and plans (e.g., monthly news, quarterly sales calls, sales transformation, ‘deal of the week' publication, KPI communications).

· Consolidates, reviews and formats meeting materials and presentations for executive level meetings (e.g., power point presentations, excel spreadsheets, word documents).

· Proofreads and checks materials for accuracy, completeness and compliance with department policies.

· Manages travel arrangements to include, flight, hotel, car, meeting coordination (and all travel-related expense management).

· Maintains highly confidential files and information.

· Develops and maintains a variety of databases and spreadsheets.

· Assists with on-boarding and off-boarding employees.

· Facilitates and/or monitor programs as directed by management.

· Generates emails (memos) and reports as requested.

· Photocopying, scanning and tracking documents as needed.

· Is responsible for maintenance of office equipment, including computers, copy machines and fax machines, coffee machine; checking inventories and ordering supplies and items as required.

· Performs other related duties as assigned.

Desired profile

This job might be for you if:

· Associates degree or equivalent experience.

· At least three years' experience in similar administrative support role, supporting a leadership team and/or teams.

· Excellent computer skills; demonstrated working (and relevant) knowledge of Micro Soft (MS) Office suite, specifically: 365 Office, Word, Excel and PowerPoint required.

· Excellent communication skills, oral and written required.

· Excellent command of the English language and grammar.

· Ability to have a flexible work schedule when required; early morning support required to support global sales leadership executive (6am PT).

· Ability to speak French, a plus.

· Excellent organizational skills required.

· Ability to work with minimal supervision.

· Ability to maintain the highest degree of confidentiality always.

· Ability to facilitate and manage tasks (or projects) to completion, with accuracy.

· Must be detail-oriented and work with utmost accuracy.

· Solid understanding of general business practices.

· Possess strong business acumen.

· Skilled at independently researching questions and making appropriate contacts for problem-solving.

· Ability to prioritize quickly as circumstances dictate.

· Ability to handle change and fast-paced office environment.
