The Position

Strategy, Portfolio & Operations (SPO) is a newly built function that aims to encompass a number of business partner functions for pRED including strategy, portfolio, program and project management office, clinical operations, sites and laboratory management, capability development and external operations. SPO is set up leveraging a hub and spoke design with a clear mandate for core capabilities that are mirrored by the respective spokes in disease therapeutic areas and functions across pRED. SPO’s mission is to deliver excellence in operations, ensure patient centricity and enable high quality decision making. As a trusted partner across pRED, SPO contributes to pRED’s research and development excellence.

The networks of contractual relationships between external professionals, providers and research organizations have become increasingly complex. To keep pace with ever-changing legal and financial obligations, we are looking to recruit an intern to support the contract management team. Below are the key responsibilities expected of the Intern.
Summary of Role:
The Intern’s task is to support the contract managers with the thorough, appropriate, and timely support of contracts. This includes management of contract life-cycle, maintaining the contract management database as required, helping with the development of specific standards for monitoring, and maintaining contract content, including document management and assisting in the tracking of contracts. The Intern’s role in the contract management process requires close collaboration with his/her colleagues in the Contract Management Team, but also when applicable other functions, including pRED functions, Group Legal, Patents, Procurement, and Finance.
Your challenges in the internship:
Track and administer all records related to pRED contracts within a centralized database, including the collection and organization of documentation/reference materials
Maintain and curate pRED’s contract database, ensuring alignment with contractual details; Remediate as appropriate
Ensure compliant negotiation and finalization of all assigned contracts. This includes collaborating with the Group Legal department, communicating with internal stakeholders, and mailing original contracts to third-party
Work closely with Legal/Compliance departments to ensure compliance with regulations, laws, ethical practices, company policies, highlight issues, and resolve conflicts
Beyond awareness and business understanding of standard contracts, assume end-to-end oversight and delivery of confidentiality, speaker, consultancy, and material transfer agreements
Maintain and update guidance documents as necessary
Act as a point of contact and work in close collaboration with the pRED Purchasing team for purchase order creation, vendor opening, and invoice reconciliation
Suggest and implement process improvements in their area of expertise
Who you are:
You must be enrolled in active Business, Administrative or Legal Studies Master's program or you finished your studies not earlier than March 2024. Please indicate clearly at what date you graduated from university in your motivation letter or CV, if you have done so already
Fluent in written and spoken English (other languages are an asset)
Basic knowledge in contracting concepts
Customer service focused
A confident self-starter, with the ability to work independently and take initiative where required
A flexible approach to coordinate demanding workloads and the ability to adapt to changes, prioritize your efforts to accomplish a variety of tasks within the deadlines
Knowledge of Microsoft Office tools; knowledge of Google Suite is a plus
A team player with an open personality and strong communication skills, enjoying working with people across time zones and cultures
The internship will take place in Basel, Switzerland.
The preferred start date of the internship is May 1st, 2024, or upon availability for 12 months.
