As administrative assistant you provide administrative service to the Global Head of Enterprise Architecture and to the assigned team members. Priority to be given to the requirements of the Global Head of Enterprise Architecture.

Please note that this role is 60% and requires you to work at least 2 full days a week. There are two positions open in the infrastructure service department. If you apply for one, you will be considered for both.

Your main accountabilities will be:

·  Provide general administrative support to the Line Manager and to the team
·  Manage Calendar for the Line Manager
·  Organize individual and team meetings F2F or via VC, TC, Hangouts etc.
·  Arrange trainings, workshops, offsite meetings and general events
·  Organize regular social team events
·  Business travel organization
·  Handle travel expenses for the Head and his Management Team
·  Handle purchasing and invoice administration
·  Create monthly active and passive accruals
·  Arrange job interviews worldwide and host Candidates
·  Support hiring and onboarding process of internal Employees and external Consultants
·  Organize office moves
·  Keep Orgcharts, team distribution lists and databases such as Touchpoint, RADA, gDrive and G+ up-to-date

Who you are

You're an organized and efficient self-starter who is comfortable working in a fast-paced environment with minimal supervision. You are able to prioritize, multi-task and meet multiple deadlines in a short time frame. You are open-minded, excellent team player who enjoys working in multi-cultural and cross-functional teams.

To be successful in this role we believe you'll need 3-5 years' experience working in administrative environments that required professionalism, organization, confidentiality and accuracy.

Moreover you are/have:

·  You hold a commercial diploma (e.g. commercial apprenticeship or commercial college) or an equivalent qualification
·  You have strong interpersonal skills
·  Good level of numeracy and an ability to manage information
·  Good verbal and written communication skills – fluency in English is a requirement, German is an asset
·  Very good Google applications and MS Office (Word, Excel, PowerPoint) skills, as well as being comfortable with TouchPoint
