Wholesale Operations Coordinator

(Permanent Full-Time)

 

HOW WILL YOU MAKE AN IMPACT?

To efficiently, and accurately execute the operational activities of the wholesale channel, ensuring that all business needs are met. To also provide support to the team during sales campaigns.This role will own the operational, logistical and invoicing aspect of accounts for partners primarily based in Europe and MEITAR. Administrative support will also be required, for accounts globally, and on occasion, other revenue streams that fall under the wholesale umbrella.

 

Key Accountabilities:

Conducting end to end operational processes with accuracy and efficiency. Ensuring that client requirements are met, and dunhill business needs balanced. This pertains to wholesale accounts in Europe and MEITAR regions.

 

·  Customer Account Creation, Extension and Updates
·  Raising, adjusting and managing sales orders
·  Regular checks of order’s detail changes (i.e. DP’s) to ensure smooth allocation
·  Allocation of orders from RDC to clients
·  Actioning of Stock Swaps and Reorders
·  Actioning of Returns from raising to crediting, ensuring that policies and procedures are adhered to
·  Monitoring of SNOW tickets
·  Monitoring of deliveries and booking in shipments with client distribution centres

 

To measure and track all the order process, ensuring fulfilment is as close as possible to 100% and delivery windows are met

 

·  Delivery and Allocation Tracker
·  Regular CDC stock availability checks and investigation of any allocation issues with relevant teams
·  Returns Tracker to ensure RTV’s stock swaps are processed in a timely manner
·  Overstock management of RDC’s
·  Communication of SKU changes to clients
·  Liaising with credit control and clients regarding invoicing queries and discrepancies in order to clear balances
·  Claims management – short/over shipment, faulty items
·  Closely monitor shipping rates to submit weekly sales forecasts to Operations Manager
·  Distribution of important communication and materials, such as delivery updates, shipping details etc to clients
·  Placing retail packaging orders, POS Materials maintaining, optimum levels for clients
·  Process and follow-up on MTM orders
·  After Sales Services – Process Credit notes/ Debit notes for all warranty products
·  Responsible for the accurate and efficient set up of the tools ready for sales campaign (JOOR, Line sheets, Selling Collateral etc.)
·  Support sales and operations team during the sales appointments
·  Ensuring that checks and investigation of discrepancies are conducted on relevant IT systems to ensure accurate processing of all orders
·  Send order confirmations and detailed product list to clients

 

 

HOW WILL YOU EXPERIENCE SUCCESS WITH US?

·  3-4 years’ experience within a similar operations role
·  Strong numerical and analytical aptitude - very commercial and performance driven
·  Experience of SAP would be highly beneficial
·  Learning agility - capable of picking up new processes and systems quickly
·  Confident handling large volumes of data and pulling reports – advanced Excel skills
·  Professional approach – understands the importance of working to a high integrity
·  Strong and efficient organisational skills - excellent attention to detail and accuracy
·  Ability to communicate with different stakeholders from a variety of cultures and backgrounds
