REPORTING TO            Marketing & Communications Director    
LOCATION     Shanghai

MAIN PURPOSE

Provide administrative support to Marketing & Communications Director in daily work.

KEY RESPONSIBILITIES

 Key responsibility 1

Screening emails, enquiries and requests, and handling them when appropriate;
Managing Director’s calendar / appointments / trip agenda / relevant logistics;
Organising and maintaining diaries and making appointments; dealing with incoming email, documents and post, often corresponding on behalf of the supervisor;
Meeting and greeting visitors at all levels of seniority; liaising with related staffs and 3rd parties

 Key responsibility 2

Supporting and organizing team overall admin work, including but not limited to: team meeting, team updates, team storage, filing mgt, PLV coordination, etc. 

 Key responsibility 3

Devising and maintaining clear and user friendly team systems, including data management, filing system, etc.; Producing documents, briefing papers, reports and presentations. Writing of business emails

 Key responsibility 4
Support teams for onsite events / activities; as well as necessary assisting such as meeting preparation, contract & related procedures, logistical preparation, company process coordination

 Key responsibility 5

Coordination and consolidation and assisting supervisor on team & project budgets, T&E and event calendar; Close communications with Finance dept. and budget controller for detailed planning and related coordination

Requirements:

 3 years or more on secretarial and office admin experience
 Self-motivated, self-disciplined, hardworking, positive attitude, willing to learn
 Mature way of thinking, fast learner, able to provide efficient and effective deliverables
 Smart, active and easy-going, open minded, flexible, with teamwork spirit
 Good and well-rounded communications skills
 Bachelor degree
 Strong office admin abilities: using of office facilities, computer operational skills, etc.
