Key Responsibilities              

•      Proactively manage calendar, making decisions on behalf of the Market Managers to prioritize calendar requests based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time              

•      Manage all Market Manager’s travel plans and agendas as needed from the business                

•      Provide support to market recruiters for interview arrangements                  

•      Arranging quarterly offsite market meetings for Store Manager’s within markets.                

•      Communicate and track business priorities throughout all stores, produce regularly scheduled Market Calls              

•      Overall Daily - Weekly - Monthly Reporting based on Market Managers Request.              

•      Week/Monthly follow up with Store Managers to ensure monthly tasks are completed              

•      Support the business by connecting regularly and providing support with Market AP, Recruiting & HRBM              

•      Manage logistics and ensure timelines are met for new store opening staff support              

•      NSO events by supporting/coordinating travel and logistical needs.                

•      Managing the travel and logistical support for Manager of the Quarter              

•      Supporting the learning team with distribution of Mystery Shops - Market Learning Specialist              

•      Assistance in specialty store closing/transition into full line.                  

•      Providing full onboarding support for new Store Managers and Business Sales Specialist and New Market Managers                

•      Prepare and process expense reports on behalf of Market Managers, in compliance with Retail Stores Expenses Policies.                

•      Act as the interim approver for all Store Manager submissions              

•      Act as interim support from tasks cascaded down from corporate to field support.              

•      Monthly review and distribution of Store P&L and Budgets to Store Managers              

•      Manage the collection of store contact info - Org Charts and Store Address List to ensure 100% accuracy.                

•      Monthly audits of IDWEB to ensure every security group is updated with correct employee alias.                

•      Provide general administrative support for market & order supplies for stores as needed

Basic Qualifications

•      Specific 3+ years of experience as Administrative Assistant in fast-paced environment

•      Experience scheduling meetings, events, travel.

•      Proficient with Microsoft Word, Excel, Outlook and PowerPoint applications. Strong organizational, interpersonal, written and verbal communication skills; ability to maintain confidentiality; ability to implement complex calendar and headcount decisions

Preferred Qualifications

•      Prior experience with retail sales, hospitality or high-level customer service experience preferred

•      Some college/secondary education is preferred.  

•      Superior customer service/people rapport building skills, both 1:1 and in a group environment.

•      Problem-solving, presentation skills, and multi-tasking ability.

•      Attention to detail, process oriented, extremely organized; capable of helping others get organized

•      Ability to deal with ambiguity, ability to make independent decisions, be proactive and drive things to closure

•      Capable of juggling multiple projects at once; actively tracking pending items and constantly re-prioritizing tasks based on changing business needs

•      Proven success working in a self-directed environment, demonstrating ability to motivate self.
