Shipping Administrator

Your Role:

This role will operate with the Life Science Supply Chain team in a fast paced and dynamic operational environment. Reporting to the Head of Logistics, the Shipping Administrator will be responsible for the expediting, costing and overall management of inbound shipments supporting an operational division, this role is vital to our overall success and requires someone with a passion for a fast-paced team environment. The expectation is that the candidate is striving for continuous improvement and commitment to excellence.

 

Your responsibilities include:
• Expedite and maintain the agreed shipment service levels by adhering to all inbound logistics processes to deliver the best in class inbound shipping services. Ensure accurate costing of all shipments according to the agreed Freight Forwarder’s rates, correct tariff duties and tariff headings, etc. and, to ensure the resolution of shipment or customs issues with Freight Forwarder. Ensuring that all documents relevant to any shipment(s), are made available to both RTT, Pathteq and Intercity Transport (Domestic Distribution Service Providers) and DSV (3rd Party Warehouse Service Provider) where relevant, before these shipments arrive. Achieve Inbound Shipping Service Levels as defined with Freight Forwarder; Ensure continuous improvement in service levels; Achieve lead time targets as per defined supplier air import process; On time communication to internal stakeholders if shipment will not be delivered on time; Pro-active attention from shipping administrator should shipment require special attention; Measured and reported monthly; Daily shipment report to LS & PM.

• Accurate shipment costing: Ensure that correct tariff codes and tariff duties have been charged; Address incorrect charges and resolve with freight forwarder; daily logging of any incorrect charges; monthly reports; Vigilance of rates charged by forwarder versus rates shown on forwarder invoice; Non-acceptance of late charges; Maintain the issues maintenance log involving Freight Forwarder issues to promote continual improvement.

• Achieve Inbound Shipping Service Levels as defined with Freight Forwarder; Ensure continuous improvement in service levels: Achieve lead time targets as per defined supplier air import process; On time communication to internal stakeholders if shipment will not be delivered on time; Pro-active attention from shipping administrator should shipment require special attention; Measured and reported monthly; Daily shipping report to LS & PM.

• Maintenance of unmatched shipment report: Resolve short shipped and damaged stock; Communication with Planners; Effective logging and reporting to suppliers through Head of Logistics Africa; Monthly reporting.

• Maintenance of Red Drop Shipments: Required documents to made available to RTT/ DSV/Intercity before Red shipments arrive. Effective process between shipping and DSV (ASN files - Stock lines & Ice shipments) / RTT (Drop Shipments - excel spreadsheet exported from SAP converted into flat file and manually handed over to RTT/DSV 24hrs before shipment arrives and reported monthly). Effective communication with regards to exceptions – reports by means of accurate daily shipment report clearly outlining (full explanation) any delays.

 

Who you are:
• Strong High Proficiency with Microsoft Office software, especially Excel.
• Attention to dates and details and ability to multi-task with high level of accuracy maintained.
• Able to operate in a very fast-paced operational division.
• Strong sense of responsibility and ability to complete tasks with minimal supervision.
• Ability to organize, prioritize and work independently on multiple tasks while meeting or exceeding deadlines.
• Stakeholder management skills and ability to influence without formal authority.
• Ability to drive change and continuous improvement.
