Job Summary


What you will do
The Catering Coordinator performs clerical duties such as typing proposals and/or contracts, preparing Banquet Event Orders for Catering Managers, typing thank you letters, preparing master accounts and answering phones. Create room diagrams. Maintain and upkeep Catering filing systems, including vendor information where necessary. Assist Catering Managers for any last minute events as needed. Maintain a professional working environment and attitude.

Assist Catering Managers with lead qualifications and forward leads to appropriate managers for response. Assist in responding to customers as needed, site preparation; prepare amenities as requested by Catering Managers, cover the phones during lunch and rest breaks and call for final guarantees as requested by Catering Managers. Assist in sending out e-blasts, invitations, and any other marketing materials as requested.

Work with other departments to ensure a smooth transition on each event and resolve issues if necessary. Communicate any last minute changes with banquets and the kitchen to ensure flawless execution of events. Perform daily duties to include door cards, parking information, daily event posting sheet, and parking sticker distribution.

The ideal candidate will possess excellent inter-personal skills and will have the ability to act independently with minimal or no supervision and the ability to communicate customer needs and resolve challenges He/she will possess excellent teamwork, communications skills (both written and oral) and be an innovator with an eye towards constant improvement in guest satisfaction and operating efficiency.

Candidate must be able to multi-task in an area with frequent distractions and interruptions. Must have basic computational and computer skills to include Microsoft Office products (Outlook, Word, Excel, PowerPoint, etc) and be able to type 50 WPM. College degree and ISAC knowledge preferred.

Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, assist individuals with disabilities, and thank guests with genuine appreciation. Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
