JOB SUMMARY
The Assistant Director of Catering & Events is responsible for the management of all meetings, incentives, events (including social & weddings), conventions and exhibitions. From initial client contact to completion of event, to reach maximum profitability and client satisfaction and ensure the Catering & Events team work to reach department and hotel goals, with direction from the Director of Food & Beverage along with a dotted line to Director of Sales & Marketing.
This role directly drives revenue and increases market share across the segments of rooms, F&B, events, group, and other revenue generating sources in line with Marriott International’s brand standards to become the hotel market leader on the Gold Coast.
CORE WORK ACTIVITIES
Represent the brand in all catering and event sales activities in line with W Hotels and Marriott International’s corporate strategies with support from the DOSM & DOFB
Lead the catering and event management activities for the Hotel
Responsible for the day to day leadership, supervision and management of associates working in the department
Oversee the co-ordination of the Function Diary
In conjunction with the DOSM develop and implement strategies to meet and exceed revenue goals in line with the budget
Participate in the preparation of the annual Budget and Business Plan
With DOSM, set, implement and manage banquet room selling guidelines and pricing
Possess thorough knowledge of JW Marriott Gold Coast Resort & Spa, the property, spaces, capacity, concept/food style and menus
Prepare by market segment comments, future actions and results for Owner’s and GM Reports
Develop, implement and manage yield management strategies to maximise revenues per available space
Quote rates and availability that are in line with function space selling guidelines and are aimed at winning the business and to achieve the targeted conversion rate
Create and present promotional/seasonal packages and programs to DOSM and General Manager to impact need/seasonal periods
Lead memorable and tailor-made site inspection tours and Client Entertainment (including when required, menu tastings) to ensure prospect leads are converted to definite and in accordance with hotel policies (this may involve time outside of normal business working hours and familiarisation (weekends)
Respond and acknowledge all incoming enquiries within a 90 minute response time and send a formal proposal within 24 hours
Actively promote Marriott Bonvoy Meetings and affiliated offers during the proposal process
Conduct meetings with Sales team to review new prospect business in line with weekly KPI targets
Conduct pre and post-event follow up calls to prospect for repeat bookings
Consults with customers in order to determine objectives and requirements for all events
Reviews scheduled events and troubleshoots potential challenges and conflict
Appraises the property for all groups that will impact property operations
For telephone enquiries, maintain call handling etiquette, language and quality to match or exceed the Quality Track mystery call program standard
Prepare and issue event contracts in a timely basis and to agreed standards, along with deposit requests and ensure that contracts and any required deposits are returned by the agreed option dates.
Review all daily beverage & food and conference charges posted to relevant accounts during each event, to ensure that all charges are in line with event orders. Ensure correct figures are reflected in ISAC actuals
Monitor group billing accounts for accuracy and co-ordinate with the Credit Manager for delayed payments
Ensure accurate forecasting to assist with hotel manpower planning
Work closely with Catering & Events Operations team and AV Company to ensure all aspects of the event are executed as per the Banquet Event Orders
Develops working relationships with outside vendors and establishes process and service agreements to enhance the event experience to increase additional revenue opportunities for the property
Lead upselling across the Catering & Events team to maximise revenue streams for the hotel
Attend and represent SPMR at appropriate industry networking events
Responsible for completing and communicating monthly sales/revenue/pace results to DOSM, GM, Director of B&F and Director of Revenue Management
Conduct weekly BEO Meetings for key internal stakeholders
Attend Outlet Manager Meetings as required by Director of Food & Beverage
Ensure smooth flow of information (communication) from Sales to Banquet Services and the Food & Beverage Department
Work with Executive Chef and Director of F&B to create and maintain banquet menus and relevant pricing
Work with DOSM and Marcom Manager on required marketing collateral
Actively participate in Sales & Marketing and Revenue team meetings including Funnell and Sales Strategy meetings
Conduct development and performance reviews with direct team reports, identifying key personnel for further development and structured career pathing
Develop, implement and maintain a training plan to ensure a high quality presentation and level of customer service within the team. From time of induction manage ongoing on-the-job training to ensure associates have the necessary skills to perform their job efficiently and effectively
Be fully versed across all relevant Marriott International loyalty programs to maximise business opportunities for SPMR
Responsible for effective recruitment, training and development certification, performance evaluation, turnover reduction and optimisation of productivity
Consolidate and streamline conference and events process from handover to execution
Oversee event planning data accuracy including room reservations to ensure correct reporting through to DOSM. Eg CI/TY Actualised revenue.
Conduct and keep abreast of external and industry market news to ensure SPMR remains at the forefront of the Gold Coast local hotel market
Analyse the activities of competitor hotels/restaurants/event spaces, including their customer base, with the aim of developing and securing new business and providing a market advantage
Work closely with the Director of Sales & Marketing to develop and implement strategies to maximise MICE business in conjunction with DOSM
Tour the hotel’s event spaces and conduct spot checks of meeting room setups. Feedback to be presented to Director of F&B and DOSM
Be an early adopter and champion for innovation, to deliver and exceed budgeted revenues for the hotel, channel engagement and enhanced guest experience
Support the Director of F&B and Marcom Manager through attendance of, and promotion to, clients of F&B marketing calender events/promotions for the year to ultimately exceed budgeted F&B revenue and position the Hotel’s outlets
Ensure the annual Sales Team plan is strategic and measurable and is able to be adjusted along with the business needs
Communicate corporate initiatives to direct reports as directed by the General Manager
Implement control procedures within the Sales Team in conjunction with DOSM to minimise errors, fraud and wastage
Ensure 100% compliance with all local legislation
Align management style, working practices and conduct with Hotel, corporate values and policies to comply with the associate talent handbook including all policies and Marriott International’s ‘Code of Business Conduct and Ethics’ and the policy against Insider trading at all times
Maintain the strictest confidence on all matters relating to SPMR, Marriott International and its entities, ensuring that business dealings within the organisation are not discussed with outside parties
Develop an awareness of, and appreciation for, the richness of the cultural diversity of our clients, associates and location
Encourage & support training programs
Be well versed and knowledgeable of Hotel’s Fire and Evacuation procedures as well as health and safety requirements in Workplace. Ensure Associates are aware of their duty of care as determined by legislation and that they maintain complete familiarity.
