Qualifications :

Nature of Work:

Typically supports an individual or group of individuals within a department. Performs administrative functions in support of achieving the department's objectives.

Work is generally varied and administrative or project oriented. Work involves developing alternatives and determining solutions for handling recurrent, less complex assignments. Work may involve handling confidential and sensitive material.

Typical Responsibilities:

·  Answers departmental telephone line(s); provides callers with responses to requests involving departmental policies, procedures or programs; directs calls to the appropriate person or takes messages. Performs research to address issues and less complex questions and responds back directly to the caller. Unique situations or problems that cannot be clearly identified are referred to the supervisor.
·  Composes routine correspondence or documents, such as, form letters, travel itineraries or meeting agendas.
·  Utilizes word processing and other software packages to produce correspondence and documents composed by others, including presentations and reports with limited graphics.
·  Processes data through an automated administrative system. This may include processing items such as expense reports, accounts payable, payroll and personnel data. Performs research and follow-up necessary to solve problems encountered.
·  Monitors many aspects of the departmental budget including reconciling departmental expense accounts as reflected on the distribution summary or operating statement and identifying discrepancies in the amounts charged.
·  Researches questions and problems regarding departmental or administrative policies, procedures, information or services. The research typically requires obtaining data from multiple sources. Complex questions and problems are referred to the supervisor.
·  May perform data entry into a mainframe application. May develop databases or spreadsheets.
·  May schedule appointments and meetings or make travel arrangements for departmental personnel, evaluating alternatives and making decisions regarding pricing and logistical issues.

Typical Knowledge and Experience:

·  Position requires a working knowledge of a full range of administrative processes typically gained through several years of experience.
·  Position requires a complete knowledge of the Company's administrative procedures, such as, catering, reprographics, mail handling and accounting and payroll processing.
·  Position requires a complete knowledge of the department's policies, procedures, products and services, customers and vendors. Position is a resource to others in providing information regarding these areas.
·  Position requires knowledge of advanced functions of a word processing package and may require a working knowledge of other business software packages, including spreadsheet and graphics packages.

Supervision Received:

·  Incumbent receives general supervision. Instructions are received at the beginning of projects and work is generally reviewed at the completion of the project.
·  The incumbent is responsible for setting priorities and establishing procedures for completing their work. Incumbent receives some guidance from their supervisor when resolving and determining the urgency level of conflicting priorities. The incumbent may be responsible for prioritizing some limited aspects of the work for the supervisor, such as identifying critical items when handling the mail, incoming calls and other requests.
