As part of the administration team, you will be managing the effective performance of all clerical and administrative functions and duties within the Mining department. This includes preparing and distributing correspondence, work order process, service communication, files and supplies. All members of the team will be cross trained on all functions to provide some variety as well as absence coverage.

Operations Administrator - Mining Job Duties

· Work order management including opening and closing of work orders in an accurate manner ensuring all labor, parts, sublet, lubricant, shop supplies, cores and parts credits are accurate and invoicing of work completed per company policies and KPIs
· Assist with the preparation of warranty claims and administration
· Prepare and process requisitions and purchase orders for supplies and equipment and services
· Coordinate planning dates for rental equipment
· Daily status updates of all open work and schedule updates
· Code invoices from vendors for accounting
· Assist technicians with parts ordering for jobs
· Provide information to customers as requested on machines and service work
· Track work order status and initiate invoicing process
· Issue Proforma and final invoices to customers and request purchase orders
· Periodic reception relief
· Other duties as required and assigned

Operations Administrator - Mining Requirements

· High school diploma or equivalent required
· Business Administration Degree or equivalent considered an asset
· 1-3 years previous experience in the areas of administration, purchase orders and customer service required
· 1+ years of Service Administrator experience in a similar field considered an asset
· Must have strong organizational, interpersonal and excellent customer relations skills
· Dynamic team player with a positive attitude
· Ability to interact at all levels of the business and with customers
· Proficient user of Word, Excel (MS office package) is essential
· Experience working with accounting systems such as Baan or SAP would be beneficial
· Must be detail oriented, have strong organizational, verbal and written communications skills
· This position works a Monday to Friday, day shift schedule
