The Executive Assistant (Practice Coordinator)to the Tax Business Unit Leader (BUL) is part of the RMP Office and Geographical Leadership Team (GLT), and reports to the BUL directly. The Executive Assistant will be required to work autonomously but also collaborate effectively with other partners and leaders, and professional, marketing and administrative staff in the Firm. The function of this position is to proactively support the BUL and all BUL-led initiatives.

What you will do

·  Provide full executive and personal support to the Tax Business Unit Leader (BUL) for the Greater Vancouver Area (GVA)
·  Privy to, and must protect, confidential information and materials
·  Independently and proactively organize, coordinate and prioritize incoming and outgoing information and correspondence, including constant and proactive monitoring, reviewing, and responding to BUL email correspondence and reviewing same with BUL on a daily basis
·  Independently and proactively manage multiple, complex calendars by scheduling internal and external appointments, anticipating needs, changes and rearranging meetings as appropriate
·  Support the BUL including coordinating and attending meetings, preparing meeting handouts, taking minutes, highlighting action items, and ensuring deadlines are met
·  Coordinate BUL meetings, conference calls, video conferences, net meetings, and make arrangements for on-site and off-site meetings and events including logistics (e.g., communication, location, meals, equipment, materials, RSVPs, and travel)
·  Research and book domestic and international travel arrangements that are subject to regular change, and, following established processes, compile travel documents for the BUL
·  Draft, review, and distribute communications, including letters, email, announcements, telephone transcripts, and other correspondence on behalf of the BUL; format and edit letters, memos, reports and presentations from draft stage to client-ready
·  Attend to delegated expense and professional time reporting of the BUL
·  Attend to all other business and personal tasks of the BUL, in order to free BUL's time to focus on strategic firm and client business and activities
·  Facilitate On-boarding for new hires into the Tax function At times, business needs arise and employees are required and agree to work beyond their normal work day or work week to fulfill the accountabilities required for their job. Likewise, people need time to devote to personal matters, and our approach to flexibility provides for this.

What you bring to the role

·  College diploma or an equivalent combination of education/experience in administration
·  A minimum of 5 years experience in a senior administrative role
·  Require general project management skills for small scale initiatives
·  Analytical and problem solving skills including good judgment regarding variance identification, gap analysis, spotting trends
·  Proficiency with MS Word, Excel, PowerPoint and Outlook
