The job holder will be a supporting member of the FS Audit team, supporting the Segment Co-ordinator in ensuring the delivery and action of any ‘administrative/non-chargeable time’ required on those holding internal roles i.e. FS Audit Head of Performance and Operations (“HoPO”), Operations Manager and Performance Leaders.

This role is a Permanent E2 level based at the 15 Canada Square.
This has been particularly important for our Performance Leaders who retain client portfolios whilst performing their roles.
The role holder will support the Segment Co-ordinator ensuring the operational aspects of the segments are supported. They will work with the FS Central Audit team on a day to day basis to ensure requests are met and liaise closely with the PLs on department administrative matters.

Responsibilities:

Operations Co-ordination

- Prepare department, segment and management meeting information, ensuring meeting logistics arranged.
- Attend all PL, department and segment meetings, tracking actions and ensuring they are carried forward.
- Running of the monthly department call alongside the Performance Leaders.
- Support on department and segment projects as delegated by the Segment Co-ordinator and PLs, linking in with other areas of the business as required and sharing knowledge.
- Act as deputy for the Business Continuity plans for FS Insurance Audit.
- Maintain department distribution lists.
- Co-ordinate collation of packs for meetings and support preparation of first draft.
- Assist the Segment Co-ordinator with the on-boarding and leaver/transfer process including graduate intakes. This will include meet and greet, support passport verification, monitor and action new joiner/leaver/transfer admin, assigning buddy, co-ordinating induction process and ensuring induction pack maintained, working with the on-boarding team to ensure IT equipment/login is ordered/returned within timeframe.
- Working closely with the Resource Management Advisors to ensure the on-boarding and leaver/transfer processes (including graduate intakes) runs efficiently.
- Have a good knowledge of the firm’s intranet to provide guidance on firm policies and processes.
- Have a good knowledge of the department/segment policies and processes and how they are applied following set precedents (i.e. timesheet and sickness policies).
- Supporting the Segment Co-Ordinator with any ad-hoc tasks.

Performance Development

- Assist the Segment Co-Ordinator with the administration for the performance management process, talent and other people management initiatives across the segment, including:
- Arrangement of upward feedback and wash-up meetings.
- Collation and production of supporting documentation.
- Action requests from PLs following MyPD statistics and other KPIs relating to deadlines for interim and yearend.
- Co-ordination of counselling events /one-to-ones for Performance Leaders.
- Have a good understanding of the performance development intranet pages and information available, including awareness of timetables to proactively plan for interim and yearend process.
