Airfreight Accounting Coordinator
Los Angeles, California
Position Duties and Responsibilities:
-Customer Service responsibilities include maintaining communication with vendor, shipper, customer, carrier and K+N overseas offices throughout the process and choosing proper routing appropriate to the customer's needs
-Ensures timely delivery of shipments and prompt and accurate documentation and invoicing. Process invoices for rush checks on a daily basis
-Monitor unacknowledged report and follow-up with operations to ensure invoices are being approved in a timely manner
-Negotiate cost-effective rates with service providers to ensure maximum profitability.
-Reconcile Vendor statements
-Monitor A/P aging for items that need resolution
-Immediately report problems, operation disputes or discrepancies to supervisor, manager, divisional manager or branch manager.
-Resolve billing discrepancies and discrepancies against client SOP's
-Read and work in accordance with Quality Management Work Instructions and QHSE procedures (ISO9001).
-Employees may also have additional responsibilities in accordance with supporting a specific department(s)/division(s) and/or be tasked with specific, individualized assignments.
-Ensure the proper processing of billing is performed as per quote
-Identify discrepancies and liaison with operations to ensure billing issues are resolved in a timely manner
-Review vendor payments to ensure invoices have been properly paid so double payments are identified and disputed if any
-Ensure all billable activities are accurately captured in the billing process and billing terms and calculations are in accordance with customer agreements
Experience:
-College degree and/or certification a plus
-Experience/knowledge working with Accounting systems
-Proficient in MS Office applications (Word, Excel, Outlook)
-Demonstrated organizational skills
-Excellent verbal, written and interpersonal communication skills
-Ability to work with demanding deadlines in a high-pressure environment
